PRIMARY DUTIES
Coordinate and administer a comprehensive and accurate fixed asset register, ensuring all additions, disposals, and transfers/changes are properly classified and recorded in asset system and general ledger, assets are appropriately and timely tagged for safeguarding, and reconciled for accurate financial reporting.Oversee the monthly capital asset evaluation process to ensure the purchase meets capital asset criteria outlined in UMB and USM policies and procedures and to ensure the correct asset values and details have been assigned in preparation for the system upload process to ensure accurate recording using Financial System Asset and the Procurement Invoice Modules.Assist with coordinating campus-wide inventory counts and audits of inventory existence.Coordinate and monitor equipment loan originations, identify purchases and process loan reimbursement requests, accordingly, and ensure the asset is accurately and timely recorded in the asset in the system based on the in-service date. Also, coordinate and process debit service loan repayment requests through the State RSTARS system and prepare journal entries to allocate repayment charges to the appropriate owner organizations.Monitor construction invoice payment requests from bond funds to ensure bond revenue is accurately accounted for and review construction projects activity reports semiannually to determine if activity value should be capitalized for financial reporting purposes. At fiscal year-end, identify closed construction projects, determine if the project value should be added to the asset system based on the policy thresholds, record assets accordingly, and adjust prior capitalization for accurate financial reportingConduct timely reconciliations of general ledger accounts using advanced accounting knowledge and propose adjusting entries to correct errors. Coordinate with relevant teams to recommend corrective actions for entries affecting sponsored projects.Validate Fixed Asset Account balances for Fiscal Year End Financial Reporting, prepare necessary Fixed Asset reports to support account balances in preparation for Financial Statement audits, this includes reports of additions, retirements, depreciation, and accumulated depreciation. Respond to audit inquiries and requests for journal entry back-ups in line with audit requirements.Oversee the monthly closing of the asset sub ledger for both Primary and GAAP Ledgers. Assist in the preparation of year-end close reporting and schedules including the Capital Asset Roll-forward Report.Serve as a primary resource for asset management inquiries and respond to asset inquiries in professional and timely manner, as needed.Complete administrative requirements such as performance evaluations, productivity and process monitoring, organization, and documentation, calendar, time, and meeting management.Maintain updated procedures for asset and accounting functions where needed. Maintain asset system performance and efficiencies, update/enhance as needed.Fulfill other duties as assigned, contributing to the successful operation of Office of the Controller-General Accounting and supporting the overall goals and values of the institution.Perform other duties as assigned.MINIMUM QUALIFICATIONSEducation: Bachelor's degree in Accounting, Finance, or Business Administration or related field of study.Experience: Two (2) years of accounting/business office experience required. Previous university and/or inventory control experience is highly desirable.Other:Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 undergraduate college credits being equivalent to one year of related experience. In instances where specific education and/or experience is required only directly related education and/or experience may be substituted.KNOWLEDGE, SKILLS, ABILITIESKnowledge of position requirements.
