Key Responsibilities:United for Business sales divisions organize a large number of meetings, conferences, and events throughout the year for customers. We’re looking for a highly skilled event professional who can help make these gatherings consistently efficient, cost-effective, and memorable. The Event Specialist will own the end-to-end event management including, but not limited to building timelines, budgeting, collaborating with event partners, creating evaluating hotel RFPs, handling communication plans for attendees, speakers, and client partners, leading onsite logistics, etc. Position will report up to the United for Business Events Manager.
Own end to end event execution for regional customer sponsorship events. Includes liaising with vendors, partners, and stakeholders per event to ensure efficient collaboration. Partner with hotels for RFPs, contracting obligations and post-event budget review. Create and own event run of show, onsite logistics, site build up and tear down, etc. Analyze post event survey results to highlight future learnings. Lead event registration systems (Stova, TicketManager, Qualtrics, etc.) to successfully build, launch, and complete event registration for all programs. Collaborate with Marketing team to create and handle communication plan per event. Lead internal meeting coordination and planning for regional divisions. Includes but not limited to hotel RFPs, booking meeting rooms at headquarters, organizing meals offsite activities, etc. Manage divisional budgets ensuring all planned items are accounted for and accurately forecasted each month to successfully be under budget. Report out monthly with leaders and ensure all audit and policy guidelines are being followed.NOTE: This position offers a hybrid work arrangement based in either Chicago, IL or the Newark, NJ/Dulles, Washington D.C. area. The hybrid work model has in-office requirements of 50% of the time. This position will also travel up to 25% of the time.
