Job Summary
The Specialist III, Quality Assurance is responsible for the management of quality systems to ensure compliance with quality and regulatory requirements and corporate quality standards.The Specialist III, Quality Assurance works closely with all facility personnel to ensure excellent quality performance and full compliance with cGMP and Food Safety requirements.Responsible for enforcing Good Manufacturing Practices and other quality-related policies in order to meet product quality standards. Champion of a strong procedure use culture and adherence to standard work Provide change management leadership coaching & guidance Review Production Batch Records and other manufacturing-related documents to verify compliance and record keeping for all mandated manufacturing processes, quality checks, testing, sampling, and sanitation activities; Act as QA reviewer for investigations, deviations, complaints, and CAPAs as designated by QA Management; Audit quality control of raw materials, packaging components, labels, and finished products to ensure compliance with established specifications and regulatory standards; Follow up with implemented programs (GMPs, Good Hygiene Practices, HACCP, Allergen Control, Cleaning and Sanitation, Pest Control, Equipment Calibration, Organic Certification, etc.) to ensure compliance by all employees and other personnel in the manufacturing facility; Assist in the coordination of testing results involving finished products, raw materials, and packaging components and the appropriate release and hold programs associated with these materials; Assist with maintenance of the “On Hold” product program, including the status, release, and destruction of “Rejected” products; Assist in investigating and correcting quality-related issues (including customer complaints) through collaboration with other departments; Make proactive recommendations and offering/presenting solutions to the Quality Systems & Regulatory Compliance Department Management to improve quality and work efficiency; Share knowledge, skills and information with other personnel in the Quality Systems & Regulatory Compliance Department and across functional areas; Identify and participate in internal quality improvement initiatives, perform gap analyses and risk assessments, develop and implement improvements, create and revise relevant SOPs; Assist in the implementation of policies, operating procedures, quality systems and programs which ensure proper testing, evaluation, inspection, and technical support in order to meet product quality standards; Participate in all regulatory, third party and customer audits and inspections, and corrective action response; Assist in maintaining Food Safety and Food Defense programs that define requirements to maintain compliance with Food safety standards; Internal Auditing: Work with site operations team to develop and execute risk-based audit plans to mitigate quality risk; Oversee and coordinate the site’s 3rd party Quality audit programs. Create “one-pagers” and communicate key learnings from complaints. Learnings shared with on-site personnel as well as sharing with the broader IFF network; Provide in-plant support to site leadership, operators, mechanics, contractors, and technical staff to ensure proper quality and GMP operation; Ensure GMP training is effective in sharing GMP know-how needed to achieve best in class quality operations; Work with the site Food Safety committee to accomplish Food Safety objectives and to maintain continued compliance with all requirements. Provide coaching at all levels of the organization. Pest Control Program - Maintain pest control program by coordinating and reviewing weekly inspections performed by contractor. Perform audits with contractor representative to identify any areas for improvement. Follow up on any non-conformances identified and ensure that corrective actions are being taken; Right First Time Report - Calculate and report Right First Time quality figures to plant and divisional personnel; Investigations - Provide summaries and issue deviations for quality concerns that meet deviation requirements; Waivers - Issue and process waivers for quality exceptions related to finished goods; Customer Audit Support - Compile quality and manufacturing records and conduct complete batch review for customer audits. Respond to related audit findings; Customer complaints - Responsible for documenting, investigating, and maintaining customer complaints in complaint systems. Provide support as needed to document, track and maintain customer complaints in plant and complaint systems. Contact customer, lead investigations, determines root cause and corrective/preventive action. Follow up with customer and respond to customer in writing; Plant Quality Improvements Represent quality on plant business point teams, quality improvement teams and other meetings to address quality issues and provide QA perspective. Work with engineers, operators and other team members to complete projects; Ensure all testing, reporting and product release is in alignment with quality system; Ensure documentation and records are maintained according to plant procedures and the quality system; Define and optimize quality assurance procedures to maximize efficiency while maintaining high compliance to standards; train personnel as necessary. Training Coordination: Serve as the site’s subject matter expert for training program, select appropriate training methods or activities (classroom, read and understand, on-the-job training, etc.) for respective training topics Maintain updated curriculum database and training records Support training administration including data maintenance, employee assistance, training progression verification and measures related to successful completion of site training Maintain employee onboarding training program that can be systematically used for all employee onboardingWork with plant leadership to create systematic and individual learning development plans and track completionMonitor and ensure SOP’s are reviewed and approved prior to pre-defined expiration frequencies'Provide visibility to supervisors/managers for training that is required and overdue for their employeesWork with managers to continually assess role specific training needs. Create and maintain training matrix for required training by role.
