The department of Psychiatry has an exciting opportunity for a full-time Sponsored Programs Specialist. The Sponsored Programs Specialist monitors, supports, and evaluates grant activities within the assigned department to ensure compliance with applicable guidelines, rules, and regulations.

CORE FUNCTIONS

Monitors sponsored accounts for problem expenditures and compliance issues including follow-up with departmental and sponsoring agency personnel. Resolves expenditure issues, including discrepancies and overdrafts.Analyzes information on sponsored awarded accounts, researches the accounting system, and contacts departmental administrators to solve issues.Requests additional information and approves or denies the following HR transactions as they relate to the impact to sponsored accounts: new hires, account changes, overload payments, and other HR transactions.Approves or denies payroll journal entries and non-payroll transactions affecting sponsored accounts.Works with the awarded amount and approved agency budget to set up account budgets.Interprets regulations and assists department administrators in understanding sponsored programs requirements.Prepares sponsored accounts for transmittal to the financial section of sponsored programs, account closing, upon award termination.Ensures the release of unobligated funds on purchase orders.Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions

Serve as a liaison between department faculty and the central Office of Research AdministrationMaintain research administration education regarding Federal rules, regulations and complianceMaintain up to date regarding the University’s contacts, general business practices and standard operating proceduresPerform all research Post Award activities, including but not limited to:Reconcile grant accounts on a regular basis, as agreed on with supervisionPerform critical analysis of grant spending trends, using existing reconciliation templatesSend invoices to sponsors for clinical trial agreements on a regular basis, using our existing research participant tracking softwareGenerate Purchase Orders for research teams, as needed, using our existing financial softwareMonitor payment of all inbound and outbound invoicesGenerate and monitor spending for outbound subaward agreementsAssist faculty with submission and track required reporting by sponsorsPerform grant closeout activitiesMaintain effort distribution sheets in real timeAssist the Pre Award coordinator with these activities, including but not limited to:Create proposal budgets, using existing budget templatesAssist faculty and organize proposals for submissionEnter proposals and all components in our existing proposal softwareAssist the faculty with all research related questions and concernsMaintain electronic grant folders in an orderly fashionUpdate several logs on a regular basis

CORE QUALIFICATIONS

Bachelor’s degree in relevant fieldMinimum 1 year of relevant experienceBi-lingual preferredIncumbent must have the ability and set up to mostly work from home. Incumbent might be asked to attend meetings at the work site
