Sr Administrative Assistant
Overview We are seeking an experienced and highly organized Administrative Assistant to provide administrative support to the Total Rewards COE, including the VP of Global Benefits, the SVP of Global Total Rewards and their teams, including Executive Compensation, Health & Wellbeing, Retirement Plans and Professional & Frontline Compensation. This role hard line reports to the VP of Global Benefits and dotted line reports to the SVP of Global Total Rewards. The ideal candidate will have a proven track record in supporting senior executives within a multinational corporation, demonstrating top notch organizational and communication skills. Responsibilities General Administration Support: Schedule and coordinate meetings with senior leaders, including managing complex calendars and resolving scheduling conflicts. Support team members with meeting logistics, including Teams administration, catering, and conference room management. Maintain and organize Total Rewards team organizational charts, phone lists, email distribution lists, and other team information. Oversee office management tasks, including mail handling, shipping, visitor or guest reception, and general office support. Coordinate and plan team meetings and events, including all logistics and correspondence. Coordinate domestic and international travel arrangements, including itineraries, visas, accommodations, ground transportation, etc. Process and reconcile travel and entertainment expenses through Concur. Manage invoice submissions/uploading to SharePoint liaising with the GBS team for payment processing. Handle ad hoc requests and special projects as assigned, including support for leadership meetings, TR global summit meeting, training sessions, etc. Support VP of Global Benefits in planning and preparing for quarterly broad global benefits team meetings, as well as supporting SVP of Global Total Rewards in planning TRLT meetings. Assist with onboarding of team’s new hires. Complete all required trainings in a timely fashion. Board of Director/Compensation Committee/TR People Planning Support: Coordinate Annual Shareholders' Campaign to offer our shareholders an opportunity for dialogue on the Proxy items that shareholders will be voting on at the Annual Meeting and to gain their insights on our Compensation and Governance programs. Provide support for scheduling off-cycle calls with shareholders. Manage Compensation Committee Meetings, including all pre-alignment meetings with senior executives, outside consultants, and Board of Directors members liaising with senior execs and/or their admins, Board members and/or their admins, Sr. Director of Executive Comp, and consultants (Frederic W Cook) to coordinate calendars, logistics of conference rooms, visitor registrations, etc. Assist with Annual People Planning by requesting updates and consolidating people planning input from 11 team members (SVP TR, her direct reports, and sector leaders). Update PowerPoint presentation as needed prior to TR Team's people planning meeting. Compensation and Benefits: The expected compensation range for this position is between $59,000 - $88,500. Location, confirmed job-related skills, experience, and education will be considered in setting actual starting salary. Qualifications Minimum of 10 years supporting senior executives in a multinational corporation. High school diploma or GED required; Bachelor’s degree preferred. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with business technology platforms (e.g., SAP, Microsoft Teams, SharePoint). Experience with travel and expense management systems (e.g., Concur). Maintain confidentiality and professionalism in handling sensitive information and documents. Demonstrated ability to effectively manage multiple tasks, prioritize competing requests, manage project deadlines and shifting priorities under pressure. Ability to work independently with minimal supervision and handle confidential information with discretion. Excellent written and verbal communication skills, with the ability to interact effectively with all levels of management and external entities. Detail-oriented, proactive, and able to anticipate needs and make timely decisions. Proven track record of supporting executives, including managing complex calendars and travel arrangements. Strong problem-solving skills, adaptability, and willingness to learn new technologies and processes. High level of professionalism, maturity, and a positive, can-do attitude.
