SUMMARY

The primary purpose of the Senior Administrative Assistant position is to perform complex administrative and secretarial duties requiring independent judgment and decision-making. Impacts departmental efficiency and productivity by supporting faculty and/or administrative staff within the Department of Neuroradiology.

Ideal Candidate: will be a proactive, highly organized individual who can work independently, take initiative, and handle multiple high-level tasks with efficiency and professionalism. Organization and Time Management, Communication Skills, Problem Solving Skills, Attention to Detail, Adaptability, and Experience. Must have experience supporting multiple senior leaders.

Summary of duties:

Provide administrative support to the assigned faculty (6). This includes performing all administrative and secretarial duties directly supporting the assigned faculty members or other designees.​ Serve as Department's main procurement and purchase order reconcile. Oversee fund reconciliation. This includes monthly 100% PRS and other financial account reconciliations.​ Oversee travel and reimbursements. This includes coordinating travel arrangements (when allowed), registering faculty for conferences, and reimbursing PRS-related expenses as needed.​

Job Description:

Administrative Support

• Organize and maintain faculty's calendars and coordinate the scheduling of meetings and events.
• Compose office correspondence consisting of letters, reports, and formal presentations relative to medical, education, and research content.
• Maintain and update faculty Curriculum Vitae, Biosketch, and "Other Support" forms.
• Processes accurate and timely travel expense reports to ensure that faculty or administrative members are reimbursed promptly.
• Completes and submits accurate and timely leave requests through QGenda to ensure documents are approved prior to the date of leave and verifies with the timekeeper that information is correctly entered.
• Maintains electronic calendar for assigned faculty/administrator using appropriate software; schedules, updates, and/or cancels meetings as required; provides up-to-date information.
• Composes and types memos, letters, and reports as requested with self-correct
• Provides telephone coverage, answering calls in a clear, pleasant, and understandable manner. Screens call and direct as appropriate in a polite and professional manner.
• Takes/retrieves packages and mail, including but not limited to UPS, FedEx, Airborne, USPS priority, and institutional courier deliveries. Sorts and distributes mail in timely
• fashion.
• Interfaces with the information systems support group to resolve computer hardware and software problems within the department.
• Assists with coordinating meetings and/or lectures, including but not limited to creating flyers, flyer distribution, disclosure form management, catering, attendance capture, invitations, etc.
• Maintains and keeps track of professional licensure and membership renewal dates on an ongoing basis.

Departmental Support

• Logs and reviews expenses on individual faculty PRS tally workbooks. Maintains backup documentation within the appropriate electronic folder to process monthly reconciliations of assigned Chartfield account(s).
• Organizes and maintains an inventory of supplies in stock and submits requests for new office supply orders when appropriate. Orders office supplies as needed.
• Evaluates and recommend office supplies/equipment purchases for departmental clinical and/or research operation.

REQUIREMENTS

Education Required: High school diploma or equivalent.
Preferred Education: Bachelor's Level Degree

Certification: None
Preferred Certification: None

Experience Required: Five years of administrative/secretarial experience. With preferred Associate's degree, three years of required experience and with preferred Bachelor's degree, one year of required experience.
Experience Preferred: Seven years of administrative experience, including five years in a healthcare environment or related field.

Must pass pre-employment skills test as required and administered by Human Resources.

Onsite Presence: Onsite for first 6 months / 3 days onsite after 6 months.
