General Summary:
We are seeking a highly organized and proactiveSenior Administrative Assistantto provide comprehensive support to the senior leadership at GPIN, Group Practice Improvement Network. GPIN is a non-profit organization that enables medical groups across the country to achieve and maintain performance excellence by sharing best practices. GPIN offers various resources to its members, including collaborative groups that facilitate ongoing discussions on specific topics, and conferences that provide opportunities for members to share insights and strategies. It is a unique opportunity to interact with physician and administrative leaders to improve healthcare for patients and staff.
Reporting to theExecutive Director, this role requires a tech-savvy professional who will create and manage communications, contribute to website updates, streamline existing workflows, schedule meetings, and handle confidential information. The ideal candidate will have strong attention to detail, excellent communication skills, and the ability to work independently. Furthermore, they are adaptable and eager to leverage AI tools and automation to enhance efficiency.
Key Responsibilities:
+ Manage calendars, schedule meetings, and coordinate travel arrangements for the GPIN annual conference.
+ Research and provide recommendations for key speakers and the Learning List sent to members (e.g. authors, books, podcasts, articles, etc.)
+ Prepare, proofread, and finalize correspondence, reports, and presentations.
+ Assist in organizing and documenting meetings, including taking notes and summarizing key points.
+ UtilizeAI-powered toolsfor meeting notes and summaries, note-taking, workflow automation, and document management
+ Create engagingPowerPoint presentationswith healthcare data visualizations.
+ Assist in the design and distribution ofweekly healthcare summary newslettersthrough research and compiling of key information
+ Edit and maintain websites
+ Utilize Microsoft Forms and Teams Forms for:
+ Conference registration and attendee management
+ Collect feedback and insights through polls or surveys to share collective knowledge
+ Workflow automation for our conference, reporting, and preferred topics of discussion
+ Collaborate and liaise with internal and external stakeholders.
Required Qualifications:
+ High School Diploma or GED required;Associate’s degree or relevant certification preferred.
+ Minimum of 3 years of experience in an administrative or office setting.
+ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
+ Experience withscheduling, calendar management, and travel coordination.
+ Strongwritten and verbal communication skillswith the ability to handle confidential information professionally.
+ Ability to manage multiple priorities in a fast-paced environment.
+ Excellent problem-solving and analytical skills.
Preferred Qualifications:
+ Experience with AI-powered tools (e.g. Microsoft Copilot) for workflow efficiency.
+ Proficiency with Microsoft Power Automate to streamline administrative tasks.
+ Design skills for PowerPoint, newsletters, and marketing materials.
+ Familiarity with website editing and content management systems
+ Knowledge of social media and SEO best practices to build/manage GPIN’s presence.
