The University of Miami has an exciting full time job opportunity for a Senior Clinic Assistant for the Department of Imaging in Plantation, Florida.

The Senior Clinic Assistant works directly with patients and various healthcare facilities to obtain patient information for medical records in preparation for first clinic visits. The incumbent also assists with patient care, such as nursing activities and laboratory collections.

CORE JOB FUNCTIONS                                                                                                          

Explains HIPPA to patients and obtains signatures.

Submits signed consents to healthcare centers to initiate retrieval of medical records, x-rays, and other pertinent reports.

Tracks pending records to ensure delivery prior to clinic visits.

Communicates to the appropriate nurse coordinator if difficult or unable to obtain pertinent records.

Travels within the facility and campus to retrieve records, films, or CDs.

May collect and prepare specimens.

Maintains accurate clinical records per hospital policy while preserving confidentiality of patient information.

Assembles, completes, and processes patients’ charts.

Assists with ordering, receiving, distributing, sorting, and storing supplies.

Reports suspicious or unusual incidents to appropriate supervisory personnel.

Assists with clerical duties, to include receiving phone calls, sending faxes and emails, and scanning and copying documents.

Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS                                                                                                         

Education:

High school diploma or equivalent

Experience:

Minimum 3 years of relevant experience

Knowledge, Skills and Attitudes:

Skill in completing assignments accurately and with attention to detail.

Ability to analyze, organize and prioritize work under pressure while meeting deadlines.

Ability to process and handle confidential information with discretion.

Ability to work evenings, nights, and weekends as necessary.

Department Specific Functions:

Works directly with patients and healthcare workers to schedule radiology procedures and facilitate the needs of radiology patients within the department.

Takes responsibility for securing necessary medical records information; follows up as needed.

Performs a variety of office clerical duties as assigned.

Telephone responsibilities include, but are not limited to speaking to the patient, obtaining medical history during scheduling to document in UChart (i.e. renal failure/disease, diabetic, chemotherapy, allergies, etc.)

Making modifications to scheduling template when equipment maintenance is necessary

Review exam requested in virtual manual to ensure accuracy of scheduled appointment

Confirm appointments with patients scheduling for the same day or next day appointment.

Ensure that any MR contraindications are cleared.

Notify the confirmation representative of all confirmations pending. If the patient is in clinic or their physician’s office, fax or email the MR prescreening form of clearance.

Notify  MR staff via email of the add-on to follow up on clearance and insurance authorization

Notify on-site insurance verifier via email of same day or next day appointments.

Inform patient of any pending authorization and deductible requirements on their behalf prior to having exam performed

Scan patients order in UChart or link to the accession number with any additional necessary documentation (e.i. operative reports, clearance forms, previous reports)

Explains consents for Imaging and HIPAA (if applicable) and maintains patient informed of delays in departmental workflow.

Advises technologist or manager if patient requires additional service recovery

Submits signed consent to health care centers as appropriate to initiate retrieval of medical records, x-rays and any other pertinent report

Communicates to the appropriate department technologist if unable to obtain a record

Communicates with physician as needed

Assembles, completes, and processes patients' charts as indicated

Maintains confidentiality of patient information.

Maintains an accurate clinical record, recording information per hospital policy.

Performs patient call back as needed

Utilizes UChart and RIS/PACS

Assists with receiving, distributing, and sorting supplies as appropriate

Reports unusual incidents in a timely manner to appropriate supervisory personnel.

Performs other duties as assigned.

Knowledge, Skills, and Abilities:

Excellent customer service skills are required.

Has broad and deep knowledge of own area as well as related areas

Strong written and oral communication skills.

Knowledge of medical terminology is preferred.

Able to handle multiple tasks simultaneously
