We are seeking a highly organized and proactive Senior Administrative Assistant to provide primary support to multiple Vice Presidents and serve as a key contributor to the smooth operation of our Vocational Office. This role requires a detail-oriented professional who can manage administrative tasks efficiently while maintaining a high level of confidentiality and professionalism.

The Senior Administrative Assistant will also act as a backup for the Senior Executive Assistant, ensuring seamless executive support when needed. This role involves overseeing office-related duties, managing supplies, handling front desk security, and coordinating with vendors.

YOUR IMPACT:

Executive & Administrative Support

Provide primary administrative support for multiple Vice Presidents.Serve as a backup to the Senior Executive Assistant, assisting with high-level executive support as required.Collaborate with the Senior Executive Assistant to support additional Vocational Vice Presidents as needed.

Front Desk & Office Security

Serve as the first point of contact for office visitors, ensuring a welcoming and secure environment.Monitor activities in the foyer and back hallway, assessing and permitting access to guests, visitors, and delivery personnel.Maintain awareness of staff presence, tracking office attendance and return schedules.

Mail & Correspondence Management

Retrieve, sort, and distribute incoming mail.Oversee the preparation and dispatch of outgoing office mail.

Office Supply & Inventory Management

Manage inventory, ordering, receiving, and stocking of essential supplies

Facilities Coordination

Act as the primary office contact for on-site vendors and service providers.Ensure smooth coordination of vendor visits and services.

MINIMUM QUALIFICATIONS:

Minimum of 5+ years of administrative experience, preferably supporting executive leadership.High school diploma or GED.

STANDOUT QUALIFICATIONS:

Strong organizational and multitasking skills, with the ability to prioritize effectively.Professional demeanor with excellent verbal and written communication skills.Ability to handle sensitive information with discretion and maintain confidentiality.Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant administrative tools.Detail-oriented with a proactive approach to problem-solving.Experience in front desk reception, office security, and supply management

Pay Range:

$50,400.00 - $77,200.00

The above pay range reflects the minimum and maximum target pay for the position across all U.S. locations. Within this range, individual pay is determined by various factors, including the scope and responsibilities of the role, the candidate's experience, education and skills, as well as the equity of pay among team members in similar positions.
