Sr Executive Assistant

A Day in the Life:

The Senior Executive Assistant will support the administrative operations and provide comprehensive assistance to the Executive Leader (s) in our Estero, FL corporate office.

 

The salary range for this position is $90-100k, commensurate with experience.

 

What You’ll Do:

Provide executive-level administrative support such as managing calendars, travel arrangements, and optimizing daily schedules. Assist in preparations of executive presentations and meetings. Build and maintain relationships with peers to ensure cross-group collaboration. Co-ordination with appropriate individuals to ensure timely completion of initiatives. Train and mentor Executive Assistants and support their onboarding process. Assist with maintaining department budgeting including expense, purchase order, requisition, and invoice management. Review purchase agreements, engagement letters, SOWs, partnership/affiliate agreements, etc. (Working with Procurement on intake forms, digital retention of draft/final agreements, working with VSU "vendor setup team" and AP on creating or updating suppliers)   Assist the business leaders by preparing forms, reports, presentations, documents as necessary.                                        Manage record retention policy for on-site inventory and remote archiving. Point of contact for all finance consulting groups while they are on site (getting badges, temporary passes, booking conference rooms) Onboard new hires and consultants, including requesting badges, access, and equipment. Communicate and collaborate across functions to coordinate meetings and events, resolve issues, and maintain a positive working environment.

What We’re Looking For:

10 years’ progressive experience in administrative roles High School Diploma or equivalent Experience with training and onboarding new hires. Ability to deal with highly confidential and sensitive matters. Excellent verbal and written communication skills.  Ability to collaborate with internal and external stakeholders across multiple functions and locations Excellent organization, time management, decision making, and prioritization skills. Proficient in MS Office 365 and calendar management. Software experience in SAP Concur or similar expense management platform, preferred. Ability to work under minimal supervision with a goal-oriented mindset.
