Sr. Administrative Assistant, HR & Talent and Org Development

The Sr. Administrative Assistant will provide support to the SVP – Global Talent, SVP – Digital HR and Shared Services and SVP – Diversity, Equity and Inclusion and their respective teams. This role will provide administrative support, travel arrangement, schedule management, meeting coordination, expense report processing and other projects and duties as assigned.

This is a hybrid position located at Ecolab’s headquarters location in Downtown St. Paul, MN.

What You Will Do:

Provide administrative support to three HR leaders and their teamsOrganize and maintain the calendar and schedule for three leaders (and their direct reports as needed) including scheduling virtual and in person meetings and functions.Make independent decisions regarding planning, organizing and scheduling priorities.Coordinate domestic and international travel arrangements including developing agendas and itineraries, booking flights and accommodations and arranging meetings and visitsManage expenses and prepare reports for leadersCoordinate and schedule large, complex meetings spanning multiple time zonesDevelop presentation materials and supporting overall team communicationsManage all logistics and coordination of space, speakers, materials, and support for team meetings and other ad hoc HR meetings, events and trainingsProvide office manager support for the HR floor (supplies, office equipment, printers, mail, etc.)Assist with onboarding for new TOD employees (IT equipment, scheduling meet and greets, etc.)Participate as an active member in team, HR or enterprise-wide projects as assigned

Minimum Qualifications:

High school diploma or equivalent5 years of professional work experience OR equivalent combination of relevant experience and degree; minimum 3 years of administrative assistant experienceStrong attention to detail and organizational skillsEffective verbal and written communication skillsStrong proficiency in Outlook, Word, PowerPoint and intermediate proficiency in Microsoft ExcelAdaptability and flexibility to respond to urgent project needs and shifting prioritiesAbility to professionally handle confidential and sensitive information

Previous Ecolab experienceBachelor’s degree in HR or business-related areaInterest in HR career path opportunitiesAbility to learn and navigate systems easilyAbility to anticipate needs and use sound judgment, resourcefulness and problem-solving skillsDemonstrates initiative, with the ability to manage multiple competing priorities in a fast-paced environmentStrong critical thinking skills and drive to learn
