Sr. Administrative Assistant
Description We are offering a permanent employment opportunity for a Sr. Administrative Assistant in the commercial real estate industry, located in Bethesda, Maryland. The successful candidate will be responsible for a variety of administrative and clerical tasks, including handling our company's tenant and property management needs. Responsibilities: • Effectively manage and organize tenant and shopping center records • Coordinate and manage high volumes of incoming mail • Promptly respond to all incoming phone calls, emails, and voicemails within a 24-hour timeframe • Execute daily administrative and assistant tasks efficiently • Keep track of various tasks and responsibilities • Handle the indexing of invoices and maintain accurate financial records • Utilize CRM and About Time software for efficient task management • Employ strong communication skills for conference calls and multi-line phone handling • Facilitate invoice processing in a timely and accurate manner • Leverage skills in commercial property management to ensure smooth operations. Requirements • Proficiency in Customer Relationship Management (CRM) software is essential. • Familiarity with 'About Time' software for efficient project management. • Strong skills in calendar management to organize and schedule appointments. • Excellent communication skills to interact with clients and team members. • Ability to handle conference calls with professionalism and courtesy. • Experience in answering multi-line phone system, ensuring efficient telephone communication. • Competence in directing phone calls to the appropriate department or individual. • Comfortable with receiving inbound telephone calls and providing appropriate assistance. • Proficiency in managing multi-line phone systems for seamless communication. • Responsible for phone coverage during business hours or as needed. • Experience with bulk mailings, ensuring timely communication with clients and partners. • Daily handling of mail, ensuring it reaches the correct recipient. • Responsible for managing department mail, ensuring accurate distribution. • Ability to efficiently distribute incoming mail to the appropriate recipients. • Experience with invoice generation and management. • Proficiency in invoice processing, ensuring timely payments and record keeping. • Knowledge of commercial real estate industry, including laws and regulations. • Experience in commercial property management, ensuring the smooth operation of properties.
