Sr. Administrative Support-Department of Surgery

The Senior Administrative Support provides high-level administrative support to the Department of Surgery, ensuring seamless departmental operations. This role requires significant independence, problem-solving skills, and the ability to manage both routine and complex tasks. The ideal candidate will excel in managing schedules, compiling reports, word processing, and maintaining a professional demeanor while upholding the organization's values. Strong communication, customer service, initiative, professionalism, stewardship, and teamwork are essential to success in this position.

As a successful candidate, you will: 

Express ideas clearly and constructively, both written and spoken, with individuals and groups.Understand and exceed customer needs, both internal and external.Create, edit, and manage documents, correspondence, and reports with a high degree of accuracy and efficiency.Gather, compile, and organize data for reports and records.Manage appointments, coordinate meetings, and arrange travel plans.Screen and direct visitors and calls to appropriate contacts, ensuring professionalism and discretion.Sort, read, and route incoming mail effectively.Organize and maintain correspondence and records systematically.Attend staff meetings, take detailed minutes, and distribute them promptly.Draft, review, and route routine correspondence in a professional and timely manner.Prepare and manage confidential and special reports, including periodic statistical summaries.Handle minor administrative matters and manage day-to-day clerical operations with autonomy.Identify and act on opportunities to improve performance; manage time and work effectively.Treat others with respect, adhere to institutional values, and follow the Code of Conduct.Identify efficiencies to reduce redundancy and save costs, resources, and time.Collaborate proactively with others to achieve mutual goals and streamline work processes.

Qualifications

Your qualifications should include: 

Minimum Education: High school diploma or GED required; some vocational or specialized training preferred. Experience may substitute for minimum education requirements.Minimum Experience: 3-5 years of responsible secretarial or clerical experience in a professional environment.

Ideal Candidate Should Have: 

Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.Strong organizational and multitasking skills with attention to detail.Excellent verbal and written communication skills.Ability to handle confidential information with discretion.Experience managing calendars, coordinating travel, and organizing meetings.Problem-solving skills and the ability to make minor administrative decisions independently.Demonstrated customer service skills with a proactive and professional attitude.A proven ability to work collaboratively in a team-oriented environment.Initiative to identify and act on opportunities for process improvement and efficiency.Familiarity with ERP systems such as PeopleSoft (preferred).Experience in a healthcare setting with knowledge of Epic (preferred).
