The Billing Systems Administrator at Casella Waste Systems is an IT professional responsible for ensuring that the organization’s billing systems operate efficiently and effectively to meet the needs of financial and operations teams. This role requires meticulous attention to detail, expertise in billing systems and processes, excellent analytical skills, and the ability to collaborate with cross-functional teams. Additionally, the Billing Systems Administrator will train and support members of the Billing Department, documenting and sharing technical processes and procedures. The role also involves gathering business requirements, conducting needs assessments, and developing functional specifications to ensure IT solutions align with business objectives.
Key ResponsibilitiesData Integrity:
Oversee the maintenance of and any changes to invoicing parameters in the billing systems to ensure consistency and proper approvals.Implement controls to prevent bad data within systems and create reporting tools to track KPIs for financial and operational teams.Produce accurate data for integrating new or acquired systems, including creating SOPs for onboarding acquisition AR systems.Assess resource requirements for successful integration of acquisition data.Billing and Payment Accuracy:
Execute scripts and processes within billing systems to generate timely and accurate customer invoices.Act as a technical liaison with third-party vendors for print/mail services, electronic billing, and payment portals to ensure seamless data sharing.Collaborate with finance and operations teams to identify and resolve billing issues caused by system performance.System Optimization:
Partner with IT and finance teams to optimize and consolidate billing systems and data management tools.Identify opportunities for automation to streamline processes and enhance data accuracy.Assess vendor costs and explore the feasibility of internalizing billing functions.Reporting and Analysis:
Create and maintain reporting functionality that meets organizational requirements and ensures accessibility for appropriate users.Develop dashboards for stakeholders to analyze metrics related to data integrity and billing/accounts receivable, such as e-bill delivery, autopay ratios, and error resolution.System Support and Collaboration:
Serve as a liaison between development teams and internal/external stakeholders, ensuring proper documentation of business requirements.Coordinate with developers, QA teams, and users to test processes, ensure functionality, and manage user acceptance.Troubleshoot system issues and recommend innovative solutions for system administration tasks.Aggregate and analyze business data to support decision-making and efficiency improvements.

Serve as a subject matter expert in billing systems and processes, leading large-scale system integrations and optimization initiatives.Develop and maintain advanced reporting functionality, dashboards, and KPIs for stakeholders.Lead cross-departmental teams to implement strategic system improvements and ensure seamless data migration for acquisitions.Provide leadership, coaching, and mentoring to junior team members, fostering professional development.Collaborate with senior IT and finance leadership to assess and execute long-term technology strategies. Education, Experience & QualificationsThe successful candidate will have a bachelor’s degree in Computer Science, Information Systems or a related field. 8+ years of experience in technology infrastructure and billing support services and a comprehensive understanding of treasury-related technology, banking and lockbox services, payment portals, and e-billing. A demonstrated ability to work as part of a team in a collaborative environment, outstanding relationship management skills, and excellent listening, communication, and problem-solving skills are required. Demonstrated proficiency with Microsoft Office and other related platforms, and exceptional organizational skills are expected.
Although not required, a master's degree in computer science or additonal certifiactions is preferred.
