**Minimum Qualifications:**
Bachelors degree or equivalent and 2 years of office related experience.
**Job Description:**
To manage, coordinate, and directly support the administrative and business management, and/or staff activities within a Process/Department.
Ability to think & act on own initiative in providing process management of financial, human resource, and administrative support functions.
**Job Duties:**
+ Advises applicants on application process, requirements, and deadlines. Advises students individually regarding their nursing program qualifications.
+ Serves as support staff for Graduate Admissions and Progression Committees; schedules meeting, sends out meeting requests to committee members, composes meeting minutes, distributes for review/approval.
+ Develops and maintains confidential student databases for registration, program planning, inquiry, application, and graduation. Includes retrieving information from NCAS, mySTAR and other platforms to compile all information to present to the Admissions and Progression committee for review and decisions.
+ Gathers applicants’ information in NCAS and send to program director to assign faculty for review and make recommendations.
+ Develops relationships with faculty, track administrators and directors to facilitate problem resolution of application and new enrollment issues.
+ Ensures all student transactions are handled accurately and consistently in line with SON and UTMB policies.
+ Coordinates communications to Graduate A&P Committees for all students seeking transfers or students seeking credit from courses taken outside of UTMB.
+ Composes program and admissions process correspondence (acceptance, deny, incomplete files, etc.). Prepares letters for the signature of the
+ Associate Dean of Office of Admissions and Student Affairs.
+ Updates applicant status in mySTAR and sends out correspondence to all applicants once decisions have been rendered.
+ Follows-up with admitted applicants to ensure they have/will accept by deadline date. If admitted applicant declines our offer of acceptance, instructs applicant to either decline acceptance in mySTAR or in writing (via email) and updates status in mySTAR.
+ Creates badge requests for new incoming students which includes creating work order, to obtain a Carigo work order number. Arranges to pick up badges from Campus Police for all incoming students. Also processes requests when students return from LOA, have a name change, or new graduation date which requires another work order to be processed.
+ Maintains confidential, secured and up-to-date student records and files.
+ Serves as staff liaison for students with Enrollment Services, Moody Medical Library, Student Health Services, Bookstore, Office of Institutional
+ Analysis, Campus Police Badge Office, Information Services, and Financial Aid.
+ Forwards incoming student lists to the academic programs staff in order for them to generate student email distribution lists.
+ Assists with Castle Branch additions/deletions of all incoming graduate and certificate students.
+ Sends list of incoming students to appropriate staff for clinical site clearances.
+ Acts as back up when necessary to front desk personnel, BSN admissions coordinator, and BSN admissions Advisor.
+ Assists with BSN pre-admissions advising including transcript evaluations
+ Assists with office activities, such as distributing mail, answering telephones, and taking messages for the Office of Student Affairs and Admissions.
+ Provides general information to all prospective applicants and students upon request.
+ Participates in special events and projects of Student Affairs and Admissions, such as student orientation, Commencement, White Coat Ceremony, recruitment events, career fairs, Open Houses, Curriculum Committee meetings, and other duties as assigned.
+ Provides assistance to the departments (Undergraduate and Graduate Program Faculty) as needed.
+ Promotes a positive work environment through professional and appropriate interpersonal interactions.
+ Adheres to internal controls established for department.
+ Performs related duties as required.
