The department of Medicine, division of Rheumatology has an exciting opportunity for a Sr. Division Administrator, Clinical to work on the UHealth campus. The Sr. Division Administrator, Clinical performs administrative work in conjunction with other department administrators to provide leadership to specific functional areas within the organization that have large FTE counts or significant total revenue figures.

CORE JOB FUNCTIONS

Provides leadership in developing business strategies and tactics to support the goals of the division and overall Health System’s strategic plans for market growth and development.Heads performance management processes and outcomes for employees and physicians.Guides managers in developing skills in and implementation of performance management practices.Supports professional development of the workforce.Performs needs assessments to determine continuing education needs of staff.Monitors staff and physician satisfaction.Provides administrative oversight to the division’s practices, supporting the employment of quality improvement processes.Pursues the spread of best practice in operations, consistent with overall network goals.Directs the planning and strategic formation of the clinical program’s goals.Directs the development of policies and procedures for network-wide use in the clinical activities of the practices.Analyzes and reviews financial and productivity reports.Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

Department Specific Functions

Provides administrative oversight to the division’s activities as it pertains to the clinical, research, and educational missionsSupports Division Chief, Rheumatology. Serves as research administrative support and leader in conjunction with DA. Understands and manages division research portfolio.Oversees research finances and clinical trial management in collaboration with DOM Research Management office, and Chief.Collaborates with research team on investigator portfolios, managing grant funding, account balances, and appropriate account allocation for all research expensesCo-leads recruitment of clinical and research faculty to help build/strengthen the division.Collaborates with senior Department leadership to prepare business plans and offer letters for faculty recruits and compensation plan proposals.Analyzes, reviews, and maintains financial and productivity reports (division specific)Reviews, analyzes divisional finances tracking variances monthly on all operational, research, and gift accounts.Understands and facilitates provider compensation plan management and discussions in conjunction with Department Administrator.Under the direction of the Division Chief, gift award, ensures that gift expenditures are reasonable and allowable according to departmental and institutional guidelines.Maintains official records and documents of gift expenditures and budget proposals year over year, and prepares the annual philanthropic annual report for endowment reportingExecutes Divisional budget (Capital, Labor, & Expenses input in Tidemark) in collaboration with Department Administration.Ensures internal effort distribution reports are accurate and updated monthly.Produces variance reports related to division charges and collections, and physician work RVU's; other reports would include those related to physician.Maintains and edits costing allocations for faculty, staff physicians, and research personnel, in addition to clinical trial funding accruals.Works with DOM Finance Director to properly track and allocate Uhealth Tower/AOA funds/educational funds to participating physicians performing Uhealth and Jackson leadership roles [administrative, clinical and educational services].Oversees and modifies transfers incoming to the division. Monitors faculty and staff physician compensation plans (academic, clinical, research) and accurately reports/edits faculty CFTE throughout the FY.Responsible for development and tracking of the new CMSQuality payment initiativeReviews and approves provider clinical template builds/changes in adherence to UMMG ambulatory guidelines and DOM policies. Provides oversight and guidance on provider clinical effort (CFTE) requirements.Tracks and monitors actual vs target provider wRVUs (including staff physicians). Reviewing PowerBI Provider Dashboards frequently.Maintains and reviews clinical schedules for providers in QGenda.In collaboration with the Sr. Practice Manager, provides oversight for clinical support staff and all patient support activities, including review of NICE reports and management of staffing needs for the DNR pod.Prepares and presents division visits and quarterly financial reviews to DOM Chair and leadership team in collaboration with DA. Analyzes and reviews financial and productivity reports.Collaborates with HR on personnel related matters (disciplinary, FMLA, Workers Comp, etc.)Manages all visa issues for faculty, staff, and new hires/recruits (Visa transfers, renewals, and new applications -H1B, Green Card, J1s, O-1, etc.).Serves as hiring manager for staff TBAs via Workday.Collaborates with the Sr. administrative assistant and Project Manager for provider credentialing, on and off boarding, CME and leave tracking, and management of WD as delegated by the Chief.Works with leadership on performance planning keeping to bell curve, providing recommendations on merit assuring we are within plan.

CORE QUALIFICATIONS

Bachelor’s degree in relevant field required; Master’s degree preferredMinimum 5 years of relevant experience required. Experience in a clinical academic department and demonstrated understanding of research administration is strongly preferred.
