Sr. Executive Administrative Assistant

Janicki Industries is an innovative, family-owned aerospace company located at the foot of the Cascades. We focus on engineering and manufacturing complex projects for companies in the aerospace, defense, and space industries. We are looking for a Sr. Executive Administrative Assistant to provide high-level support to senior leaders, ensuring the efficient operation of their office and helping them manage their time and responsibilities effectively.  The preferred candidate is a seasoned Sr. Executive Administrative Assistant with at least 5-7 years of administrative experience.

POSITION DESCRIPTION 

This position is located on-site in Sedro-Woolley, Washington State

The following essential job functions are performed:

Books travel arrangements, keeps records of all travel booked, and reconciles the “Janicki Travel” credit card statement each month (online). Schedules conference rooms and Teams meetings; provides lunch for meetings when needed. Organizing and preparing for meetings, including agenda creation, note-taking, and follow-up on action items. Preparing reports, presentations, and other documents as needed. Acting as the point of contact between the leaders and internal/external stakeholders. Managing budgets or procurement of office supplies and resources as necessary. Reviews, corrects, updates, and approves timecards. Updates various reports weekly. May be asked to review technical documents. May be asked to review budgets and plans. Completes assignments given by the VPs, Directors, Program Managers, and Project Managers. Performs other duties as assigned. Being at work on time and maintaining good attendance is a condition of employment and is an essential function of your job.

QUALIFICATIONS

MUST BE U.S. CITIZEN OR LEGAL PERMANENT RESIDENT FOR THIS POSITION. 

Due to our ITAR and EAR regulations, applicants must be a US Citizen or of Legal Permanent Resident Status as defined by 8 U.S.C. 1324b (a) (3).

EDUCATION/EXPERIENCE

An Associate Degree or two-year Technical Certificate preferred.  High school diploma or equivalent (GED) required.  5-7 years Administrative Assistant experience required.  In Manufacturing/Engineering environment preferred.  Must have strong customer service skills and the ability to multitask. Must be able to work well independently and under pressure, meeting and completing multiple deadlines.  Must possess effective oral and written communication skills. Must be familiar with all Office applications including: Word, Outlook, Excel, etc. 

ADDITIONAL INFORMATION

Wage range for this role is between $30 - $45 an hour plus a discretionary bonus, 401(k) matching, vacation, and health benefits. Employees can also receive additional pay for off-shifts, off-site work, and access pay. The range provided is Janicki’s estimate of the base compensation for this role. Actual amount offered will be based on job-related and non-discriminatory factors such as experience, location, education, training, skills, and abilities.
