About the Location Hybrid Position: This position may be considered Hybrid based on PetSmart’s FlexSmart policy and business needs. A Hybrid work arrangement is considered to be a blend of onsite and remote work activity. Associates with a Hybrid work arrangement have a work space at Phoenix Home Office and can be required to come onsite between 1-5 days a week as determined by leadership and based on business needs. About the Job Working within the HR Shared Services, this person is responsible for driving, managing and coordinating the day-to-day activities for multiple associate engagement programs: the PetSmart Associate Assistance Foundation (PAAF), an employee assistance fund to support PetSmart associates during times of unforeseen hardship, PetSmart’s Tuition Reimbursement Program and the PetSmart Scholarship Foundation program, which supports professional development and continued learning for our associates This person will also research, collect, analyze and relay data for trends and inconsistencies as well as make decisions for process improvements and coordinate daily tactical planning for those programmatic changes. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Initial point of contact for phone calls from our associates regarding all 3 programs and will assist associates through the entire life-cycle of the process. This person will provide customer service and recommendations which includes researching and resolving issues around the foundation and program legal requirements, making committee recommendations, and initiating payments. Ensures that PAAF, Tuition Reimbursement, and Scholarship programs all remain compliant within established program guidelines, polices and procedures, and applicable governing laws. Performs administrative tasks, such responding to emails, processing payments, verifying documents presented, and other general HR work. Maintains all employee record requests, including responding to employee requests, creating files, uploading, and auditing documents. Responsible for developing and executing the short-term and long-term improvement strategy of all 3 programs and communicating with multiple levels of associates, up to and including, senior leadership. Prepare presentations for PAAF Governing Board, Scholarship Foundation Board, and other senior leaders. Plan and execute yearly initiatives such as the Be the Difference Campaign, yearly Scholarship Application window and ongoing Tuition Reimbursement marketing. Other projects as assigned. EDUCATION and/or EXPERIENCE Bachelor’s degree or two (2) years’ experience in a cross-functional HR/Legal/Customer Service/501c3 environment, or equivalent combination of education and experience. TECHNICAL SKILLS Strong phone and verbal communication skills along with active listening Must demonstrate the ability to articulate effectively. Must demonstrate extreme patience and confidentiality when handling associate requests, questions and/or concerns. Must demonstrate intermediate proficiency in Microsoft office applications (Excel, Word, Outlook). Able to multitasks through multiple systems to get information and complete tasks. COMPLEXITY AND PROBLEM-SOLVING Able to think critically and exercise independent judgement and problem-solving required to provide response’s correctly and for plan interpretation and design. MAJOR CHALLENGES Dealing with fast-paced, sensitive, confidential, and urgent issues. Working to resolve issues within confines of the law. Processing a high volume of calls and emails PHYSICAL DEMANDS and WORK ENVIRONMENT The physical demands and work environment are characteristic of those found in a typical business office environment. This position requires frequent movement around campus buildings and the ability to regularly lift and/or move items weighing up to 40 lbs. Hybrid options may be available when training is complete, but weekly in-office work is required.
