Sr. Manager, Sponsored Programs

The University of Miami/UHealth department of The Miami Project has an exciting opportunity for a Full Time Sr. Manager, Sponsored Programs to work at the UHealth Medical Campus.

Core Summary

The Senior Manager, Sponsored Programs directs and oversees all administrative and financial aspects of the Sponsored Programs division at the assigned facilities. The Senior Manager, Sponsored Programs operates with the goals of increasing sponsored funding levels and the output of funding proposal, as well as maximizing the use and efficacy of existing research funding dollars. Further, the incumbent develops and implements policies and methods that further these goals.

Core Responsibilities

Identifies potential donors or sources of funding and plans outreach strategies. 

Participates in the development of grants applications and proposals.

Schedules and oversees planning for special events that publicize the organization and its programs to the community.

Trains, mentors, and supervises sponsored programs staff members, and prepares performance reports.

Negotiates contractual provisions with potential partners.

Develops and provides reports or documentation needed to secure and maintain funding and grants.

Department Specific Functions

The Miami Project to Cure Paralysis is seeking an experienced and dynamic Senior Manager of Sponsored Programs to oversee and manage our growing portfolio of sponsored research projects. This role requires a deep understanding of both pre-award and post-award processes, as well as experience managing clinical trials.

The ideal candidate will be able to work both independently and as a key collaborator within a multidisciplinary team, demonstrating expertise in the intricate landscape of sponsored program administration. This includes skillful management of proposal development, award negotiation, financial oversight, compliance monitoring, and reporting.

A successful candidate for this position will have strong analytical and financial management skills and an interest in supporting faculty research. The candidate must be comfortable working in a deadline-driven environment and able to manage and prioritize complex projects, sensitive deadlines, and high-skilled personnel.

Pre-Award Duties

Works with the Director of Sponsored Programs and our Pre-Award Manager on the proposal development process, ensuring compliance with internal and external guidelines.

Assist faculty and researchers in the preparation of proposals, including budget development, administrative sections, Just in Time (JIT), and ensuring the inclusion of necessary documents and certifications.

Review and endorse proposals on behalf of the organization, ensuring accuracy, compliance, and competitiveness.

Facilitate and manage the submission of proposals through electronic research administration systems or other submission methods as required by the sponsor.

Develop and implement strategies to increase research funding by identifying new funding opportunities and enhancing proposal quality.

Maintain an in-depth understanding of funding trends, sponsor guidelines, and regulatory requirements to provide expert advice and support to researchers.

Post Award Duties

Assist in the administration of sponsored awards, ensuring compliance with sponsor guidelines, institutional policies, and applicable federal and state regulations.

Manage and track award budgets, including cost allocations, encumbrances, and expenditures to ensure alignment with project goals and sponsor requirements.

Collaborate with the Director on faculty and staff effort certification to ensure compliance with award terms and institutional policies.

Conduct monthly reconciliations of awards accounts to identify discrepancies and ensure proper allocation of expenses.

Manage subaward issuance, monitoring, and financial management, including invoice review and approval.

Prepares and submits no-cost extensions, carryover, and other award modification requests.

Coordinate award closeout processes, including final financial and technical reporting, and support internal and external audit requests with our ORA partners.

Core Qualifications
Bachelor’s degree in relevant field. Research or grants education and/or certification is preferred.
Minimum 7 years of relevant grants and contracts experience.

Preferred Qualification: Certified Research Administrator (CRA), Certified Pre-Award Research Administrator (CPRA), or Certified Financial Research Administrator (CFRA).  

Knowledge, Skills and Attitudes:

Ability to learn and adapt to changing technologies related to grants and contracts management

Strong analytical and innovative problem-solving skills.

Demonstrated skills in data analysis and formulating conclusions.

Proficiency in MS Office Suite (Word, Access, Excel, PowerPoint).

Effective verbal and written communication skills.

Ability to manage and prioritize multiple projects/tasks simultaneously.

Comprehensive knowledge of federal rules and regulations related to grant and contract activity

Knowledge of responsible conduct of research, advanced compliance issues, cost-sharing, and effort allocation.

Experience with functions in IBISResearch, WorkDay, eCRT, and other related systems.

Any relevant education, certifications and/or work experience may be considered.
