JOB SUMMARY
The Senior Payroll Analyst has primary responsibility to process all payrolls throughout the year (bi-weekly, monthly and month end). The Senior Payroll Analyst is accountable for payroll wage reconciliations, tax activities including reporting and payments, form W-2 processing, and compliance with local, state and federal regulation requirements. This position also manages the garnishment, 401k reconciliation, relocation and expense allowance processes.
ESSENTIAL DUTIES & RESPONSIBILTIES
1. Process Payroll
Run all bi-weekly, monthly, month-end and accrual payrolls.
Ensure compliance with SOX requirements for documentation of payroll processing.
Work with ADP to address any errors and issues during the payroll process.
Work with Payroll team to address any errors and issues during the payroll process.
Coordinate all payroll process activities with Payroll management to ensure smooth payroll processing.
Download all required reporting during and after acceptance of the payroll.
Reconcile payroll activities for gross to net and taxation to ensure accuracy of the payroll.
Provide all required reporting from the payroll process to other departments (e.g. Treasury and Accounting) and work with them to resolve any questions or issues related to the payroll process.
Coordinate responses to inquiries from management and accounting personnel.
Complete and manage all set-ups of the payroll calendar in the payroll processing system.
Coordinates the adjustment of the payroll calendar as needed to ensure proper processing of off-cycle checks.
Maintain and produce annual payroll transmission calendar and communicate to all who need it.
Manage the check distribution process ensuring that all clubs are set-up with ADP and Fed Ex for shipping.
Monitor and work to resolve any pay check shipping issues.
2. Manage Payroll Tax
Prepare tax returns and miscellaneous payments as required, including payments to Hawaii, Nevada, New York and Washington.
Coordinate the establishment of tax accounts and address all correspondence with the payroll tax service provider and research inquires received from federal, state, and local taxing entities.
Complete and analyze wage and tax reconciliation reports and review for all federal, state, and local entities.
Review and generate any tax adjustments and amendments with ADP for individual tax issues throughout the year. Process any required refunds.
Process reversal and re-posting of checks to adjust taxes as needed.
Review multi-jurisdiction employees for accuracy of tax withholding in compliance with state and local tax regulations.
Provide FUTA reporting to Accounting for accrual adjustments monthly.Complete quarterly tax reconciliation of filed taxes to payroll reports for validation of the accuracy of filed tax returns.
3. Manage Other Payroll Processes
Provide 401k and NDQC balancing totals to Benefits Team and vendor. Respond to issues with 401k and NQDC reconciliation to vendor totals.
Analyze and reconcile the garnishment process to ensure adherence with federal, state and local regulations.
Work with Payroll Specialists to ensure all garnishments are entered timely and are reviewed as needed.
Provide payroll data to Helping Hand Foundation Admin Manager.
Work with HHF Admin Manager to ensure all deductions for HHF are reconciled and any issues are addressed.
Manage the Expense Allowance and Device Reimbursement process ensuring all employees that should have the allowance are properly set-up in the system.
Coordinate with Accounts Payable team to receive and process all gross-ups throughout the year.
Work with outside vendor to process any relocation adjustments for team members. Reconcile relocation transactions to vendor provided reporting.
4. Other Payroll Responsibilities
Respond to all government reporting requirements
Provide quarterly and annual reporting, including but not limited to multi-worksite reporting and workers' compensation.
Assist in gathering data for all audits pertaining to wages, taxes and benefits.
Define, create and process miscellaneous reports for outside entities, internal reporting requirements, and management requests.
Monitor payroll interfaces and address issues with IT, ADP and management to resolution.
Serves as back-up to the Payroll Supervisor for the review and printing of manual checks.
Display and provide excellent customer service and communicate professionally.Assist with special projects.
QUALIFICATIONS
Required Knowledge, Skills & Abilities
7+ years of professional work experience
Experience working a multi-location service environment.
Experience with a tax filing service bureau or with tax filing responsibilities in an in-house environment.
Experience with general ledger interfaces for payroll systems.
Experience in administering, configuring, and using payroll reporting systems.
Preferred Knowledge, Skills & Abilities
Human Resources background.
Working knowledge of Benefits Administration.
Experience with Access.
Experience processing payroll for 10,000+ employees per pay period
Bachelor's degree in related field or equivalent professional experience.
Physical Demands/ Environmental Conditions
Must work on a computer for extended periods of time.
Light physical effort required on occasion.
Normal day to day business operations including using a keyboard, walking, bending and reaching.

Compensation Summary

Average of 30 hours or more per week: Medical/Dental/Vision Benefits, Paid Time Off, and Sickness Benefits (in addition to the above).
Actual offer may vary from posted hiring range based on location, work experience, and/or education.
Salary range will vary based on geography of the applicant. Pay Range for Los Angeles, Orange County and Seattle: $84,065.00-$105,110.00 (Exempt), $40.42-$50.53 (Non-Exempt) Pay Range for Bay Area (California) & New York City (incl. New Jersey): $87,720.00-$109,680.00 (Exempt), $42.17-$52.73 (Non-Exempt) Pay Range for San Diego & Carlsbad (California) and all other locations: $78,948.00-$98,712.00 (Exempt), $37.96-$47.46 (Non-Exempt)
