Sr. Practice Manager

The University of Miami/UHealth Department of Neurology has an exciting opportunity for a Full Time Sr. Practice Manager to work at the UHealth Medical Campus.

Core Job Summary

The Senior Practice Manager directs and maintains all aspects of the daily activities of the practice for its successful operation, which includes the efficient and timely scheduling of patients for clinics and surgeries. Moreover, the Senior Practice Manager develops, trains, coordinates, and recruits personnel for the practice to ensure that all offices are properly staffed and operational.  Additionally, the incumbent supervises scheduling support staff for physicians to ensure patient access and satisfaction, and effective and efficient coordination of out-patient appointments.

Core Responsibilities

Manages and coordinates the activities of office and clinic personnel.

Approves time and attendance documents.

Oversees recommendations for hires, transfers, promotions, and terminations, and trains and evaluates all positions for the practice.

Maintains and adjusts job descriptions for department staff.

Sets goals and objectives for support staff and evaluates their performance.

Department Specific Functions

Manages and directs all aspects of clinical practice operations including our Desai Sethi practice base clinic along with Administration.

Understands the core clinical, research, academic, teaching, and business functions of all division.

Assist the administrator with preparation of productivity reports, budget planning, and revenue/expense modeling. Review Press Ganey patient satisfaction score card for providers and practice.

Review and update Kyruus. Plan and direct activities that relate to future growth for the practice, which includes market growth and business analysis, strategic planning, and development.

Strong knowledge in physician practice management including human resources management, performance management, and clinical/business operations.

Understand and manage operating budgets, costing allocations for effort distribution, and clinical schedules for different provider groups and Advanced Practice Providers (APPs).

Collaborate with internal and external stakeholders with credentialing, enrollment, and on-boarding/off-boarding of clinical faculty and staff.

Develop and maintain clinical standards within UHealth, departmental, and divisional structures to safeguard guidelines and protocols.

Maintain/update online resources and web pages for the division with the direction of administration to keep current standards.

Optimize physician clinic templates, procedure, in-patient and imaging coverage schedules.

Distribute announcements of funding and educational opportunities under the direction of the Administrator.

Process all related purchases, reimbursements and other university forms, travel and supply orders as directed by administrator.

Oversees, evaluates, and monitors on-the-job performance of staff when relative to performance of standards.

Offers guidance regarding staff oversight and relative HR policies.

Monitors staff to ensure that employees report to work on time (applicable to hourly staff) and completes time entries regarding attendance and time off via Workday.

Core Qualifications

Bachelor’s degree in relevant field required. Master's degree preferred.

Any relevant certifications and licenses may be considered, but not mandatory.

Minimum 5 years of relevant experience with progressive responsibilities

Excellent organizational skills with the ability to manage many competing timetables and responsibilities Courteous, service oriented, professional demeanor. Skilled in data entry and typing.

Outstanding interpersonal skills, ability to handle and resolve sensitive human resources issues

Ability to plan for the timely and successful completion of short- and long-term objectives

Excellent verbal and written communication skills to communicate effectively with a large and diverse constituency, including administration, faculty, patients, and support staff.

Able to communicate information in written, electronic, oral and presentation formats

Requires the ability to work independently and to accept responsibility for complex and sensitive decision-making

Interpersonal relationship skills needed to motivate staff and physicians in a positive and collegial fashion

Ability to establish and maintain effective working relationships with patients and clinic staff.

Data Entry and Database Management, strong Microsoft and Adobe Applications, and Basic mathematical knowledge
