The Department of Medicine’s Cardiovascular Division at the Miller School of Medicine is seeking an experienced Sr. Practice Manager to oversee clinical operations in a dynamic, large-scale environment. Key responsibilities include supervising a team of clinical staff, managing provider schedules, ensuring smooth operation of various clinical services, and ensuring high-quality patient experience. The Sr. Practice Manager will be responsible for improving team performance, handling difficult situations, and collaborating with other departments to drive the success of new clinical programs. Additionally, the manager will serve as an EPIC superuser, provide training, and ensure HIPAA compliance. This role also involves participating in operational meetings to offer updates on ongoing and upcoming clinical initiatives.

Manages and coordinates the activities of office and clinic personnel.Approves time and attendance documents.Oversees recommendations for hires, transfers, promotions, and terminations, and trains and evaluates all positions for the practice.Maintains and adjusts job descriptions for department staff.Sets goals and objectives for support staff and evaluates their performance.Trains or facilitates the training of personnel within the assigned division(s).Participates in customer service and leadership training. Attends University meetings regarding UCare, Epic implementation, HIPAA compliance, and third-party payor contracts.Develops and implements an inventory control system for supplies and materials required by the practice.Oversees employee, patient, and physician relations and problem resolution as it occurs in the offices.Ensures compliance with University policies and procedures.Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Knowledge of business and management principles.Ability to direct, manage, implement, and evaluate department operations.Ability to establish department goals and objectives that support the strategic plan.Ability to effectively plan, delegate and/or supervise the work of others.Ability to lead, motivate, develop and train others.Ability to maintain effective interpersonal relationships.Department Specifics:Clinical Operations & Staff Supervision:Supervise and manage the clinical support team, including Clinical Business Operation Representatives (CBORs), supervisors, program coordinators, and nurses.Monitor daily performance of staff, implementing corrective actions (e.g., Performance Improvement Plans) as needed and conducting annual performance evaluations.Establish, enforce, and monitor the daily staff schedule, ensuring adequate coverage during high-volume call periods and managing time-off requests for seamless operations.Provider & Schedule Management:Oversee and coordinate provider schedules across multiple services, including cardiology consults, CVICU, EP consults, HF consults, Cath Lab, and Echo Lab.Process schedule template changes and ensure timely approval of Planned Leave Requests (PLRs).Collaborate with providers to ensure proper coverage during time-off periods.Clinical Systems & Compliance:Maintain and update QGenda and AMCOM systems to ensure accurate scheduling and communication.Act as an EPIC superuser, providing training and support to staff and providers on system usage, while identifying opportunities for process improvements within the division.Monitor and enforce HIPAA policy compliance among clinical team members.Collaboration & Communication:Serve as a liaison between the Cardiovascular Division and other departments, including Uconnect, Patient Access, Patient Experience, and Department of Medicine Clinical Leadership.Handle difficult patient calls, resolve issues, and implement patient experience recovery measures when needed.Lead and organize monthly outpatient clinical task force meetings to review operational efficiency and identify improvement areas.Program Implementation & Leadership:Lead the development and successful implementation of new clinical programs from initiation to execution.Present updates on ongoing and upcoming clinical programs and projects during weekly Operational Meetings, ensuring alignment with division goals and priorities.Operational Support & Reporting:Work closely with the Department Administrator to maintain accurate CFTE reports for providers.Monitor clinical operations to ensure efficiency, accuracy, and high standards of care across all services.Any appropriate combination of relevant education, experience and/or certifications may be considered.
