CORE JOB SUMMARY
The Senior Sponsored Programs Specialist coordinates administrative and financial functions for the assigned department. This position also oversees junior staff and takes on the review of more complex grant activities in order to ensure departmental compliance with applicable guidelines, rules, and regulations
CORE JOB FUNCTIONS
Provides technical assistance and guidance to faculty and administrators in the development and preparation of funding proposals. Responds to general inquiries regarding sponsored program policies and procedures. Reviews grant applications to ensure accuracy. Accesses applicable database(s) to verify regulatory compliance approvals before establishing of the project account. Maintains the internal proposal documents and electronic records for assigned portfolio. Processes and disseminates various non-financial post-award actions such as award notifications, amendments, and related documents. Assists in the coordination of the project closeout. Coordinates with faculty on possible need for budget revisions to be consistent with award amount as received. Reviews award terms and conditions and discusses flagged items with faculty. Oversees all audits and bank reconciliations of petty cash accounts. Monitors sponsored programs subcontracting activity. Submits to accounts payable all received and endorsed invoices and tracks timely payments by that unit. Adheres to University and unit-level policies and procedures and safeguards University assets.

The Sr. Sponsored Programs Specialist (Clinical Trials Finance) manages activities in support of an assigned portfolio of clinical trials within Sylvester Comprehensive Cancer Center’s Clinical Trials Finance unit using knowledge of grant, contract, clinical trials and Investigator Initiated Studies, management rules and regulations, technical expertise, and analytical skills. Post award activities include regular review, reconciliation, and projection of award finances, preparing adjustments and corrections to award budgets, preparing financial reports, invoicing and collecting sponsor payments, and at the end of the award, ensuring all financial requirements have been met and closing out the award. Interacts regularly with and provides high quality customer service to faculty members and clinical research staff conducting sponsored research. Ensures adherence to quality standards and all policies and award regulations. Interacts with central offices assisting with clinical trial management, including Clinical Research Services (CRS), the Office of Research Administration (ORA) and Central Billing Office (CBO) and Central finance. Distributes award/contract information to PIs, co-PIs and relevant staff and other service centers. Reviews and reconciles clinical trial expenditures and budgets, adjusting, as necessary. Manages budget, reporting and compliance timelines through the lifecycle of the grant, contract, or clinical trial. Communicates with PIs on a regular basis regarding budget and expense adjustments and revisions. Completes financial reports to be sent to sponsor, as required by the award/contract terms and conditions. Monitors compliance with agency and University regulations regarding reporting. Facilitates the approval of invoices to pay subcontractors and/or other sites. Closes out all funded projects, consistent with university process and timelines. Performs related responsibilities as required.
Dept. Specific Functions
-Works with the Principal Investigator and the clinical research team to develop an internal budget that includes all costs applicable to the study.
-Collaborates to help finalize budgets by identifying all activities, tests and procedures to be performed during the conduct of the study based on the protocol, study calendar and other study documents.
-Negotiate with sponsors to reach agreements appropriate to the costs of the trial (as needed).
-In collaboration with the Billing team, reviews patient care charges associated with each clinical research study on a periodic basis. Works with the Billing team to ensure that charges for all patient procedures are treated appropriately.
-Supports the study team in the financial management of clinical trials originating from federal, foundation, and industry funds by performing all accounts receivable functions.
-Generates and sends invoices to study sponsors.
-Tracks and monitors receivables from sponsors, including pass-through fees and milestone payments.
-Generates reports to project study financials.
-Notifies Central finance team of appropriate study account to receive payment.
-Resolves any financial issues with sponsor as needed.
-Ascertain amount paid and remaining amount due on assigned study sponsor accounts
-At the completion of the study facilitates comprehensive review, particularly inclusive of reconciling revenue received prior to closing out of the study account.
-Prepares analyses and reports of clinical trial financials for Clinical Research Faculty, Clinical Research Administration, Directors, study teams, and others as requested.
-Assists Principal Investigators with budget monitoring and preparing projections.
-Production of ad hoc analyses as needed.
