Positional Summary
Campus Offices support the overall operations of Residential Student Services with the department of Housing and Residence Life. Staff Assistants initiate maintenance and repair requests, manage bedroom and high value keys, coordinate room assignment updates and changes, process financial transactions for assigned staff, and provide exceptional customer service to all key stakeholders.
Customer Service and Communication (effort: 30%)
Serve as primary contact for excellent customer service and communication in the day-to-day function of the campus office. Receive and greet visitors; screen phone calls and emails providing initial response and triage before determining referral to appropriate resources, including but not limited response to students, parents, contractors, vendors, and other university staff. Ensure students are informed of scheduled facility work and processes with appropriate follow-up as needed, preparing notifications as requested. Respond promptly and thoroughly to all group event registration and space usage requests.
Finance and Budgeting (effort: 30%)
Maintain, review, and reconcile all assigned budgetary records via SAP. Ensure financial and transactional issues are accurately submitted and correctly resolved. Process various purchasing transactions via Duke Procurement card purchases, fund transfers, check requests, Provide pertinent information to respond to inquiries based on knowledge of programming efforts of the Residence Life team and help resolve more complex situations. Review and reconcile assigned monthly detailed financial statements (DFS) and ensure appropriate budget managers have confirmed accuracy. Maintain accurate and organized financial records.
Facilities Maintenance (effort: 25%)
Review and submit all assigned maintenance, housekeeping, utility, and other requests via the EAM operating system. Discern and differentiate between routine and emergency issues and initiate appropriate action based on HRL RSS protocols. Inform appropriate General Maintenance Supervisor of unusual situations or difficulties. Follow-up on maintenance requests to ensure work has been completed in a timely manner and to customer satisfaction. Maintain common area damage billing data. Initiate damage billing for student residences. Compile and summarize data and assist in preparing regular and special reports requiring analysis and evaluation of data
General Administration (effort: 15%)
Maintain front desk procedural manuals, directives, and related records. Assist the Office of Housing Assignments and Communication with key processes as directed. Assist residence life team with event logistics as needed, ordering supplies and other items for events, etc. Review and maintain office forms and supplies replenishing as needed. Supervise front desk student staff including providing daily work assignments and managing payroll process. Perform related duties as assigned to meet department, division, and university priorities.
Strongly Preferred Experiences:
Strong customer services skills including the ability to navigate challenging individuals. Strong attention to detail with the ability to manage concurrent projects within established guidelines. High level of proficiency in computer applications and systems with the ability to learn new platforms as required. Ability to problem solve and initiate tasks. Willingness to learn new skills as needed for outstanding performance and service Perform related duties as assigned or required to meet departmental, Division and University goals and objectives, as assigned by their Supervisor, Director, or respective designees.

Anticipated Pay Range:
Duke University provides an annual base salary range for this position as USD $18.55 to USD $27.54. Duke University considers factors such as (but not limited to) scope and responsibilities of the position; candidate's work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.

Minimum Qualifications
Education
Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondaryeducation in administrative support or a related business field.
Experience
Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities. OR an equivalent combination of education and relevant experience.
