Job Overview  

Reporting directly to the NJEDA’s Deputy Chief of Staff, the Staff Assistant supports the heart of our operations, joining the team responsible for all of our Communications, Marketing, and Events, Diversity, Equity and Inclusion, Economics and Data Analytics, Policy, Intergovernmental Affairs, and International Innovation efforts. This role will provide pivotal support in coordinating key initiatives across multiple areas, working closely with Authority leadership and staff to help advance projects that build a stronger and fairer New Jersey economy.  If you are enthusiastic about government, policy, and communications, and crave a dynamic, fast-paced environment where you can dive in at an entry level, then this is the perfect job opportunity for you.

Note: The NJEDA currently offers a hybrid work schedule for up to 2 days of telecommute work from home. To participate, you will be required to have high speed home internet access and a manager's approval. This program does not supersede the "New Jersey First Act", which requires newly hired NJEDA employees to establish and then maintain, principal residence in the State of New Jersey.

Responsibilities

Duties  

Daily Tasks and Responsibilities: 

Drafts and prepares briefing memos, talking points, PowerPoints, and other written materials for the CEO and members of the NJEDA’s Executive Committee for use with external parties. Supports the day-to-day operations of the Chief of Staff division, including but not limited to assisting with scheduling and logistics, drafting agendas, spearheading weekly reports for circulation to Executive Committee, tracking and drafting support letter requests, running point on travel approvals for all Authority staff, compiling the monthly Board Dashboard, and tracking priority projects within the division.  

Projects: 

Provides support to the Communications, Events and Marketing Department for events and communications efforts including assisting with drafting press releases and quotes.  Provides support for the International Innovation and Partnership Department on assisting with outreach engagements, event and outreach materials, slide decks, and supporting travel as well as events overseas.   Provides support, as needed, to the Diversity, Equity, and Inclusion Department, Economics and Data Analytics Department, and the Policy team, on memos, research, slide decks and outreach efforts.   

Goals and Objectives: 

Maintains front office operations, including responding to inquiries from both New Jersey Legislative Offices and Customer Care, drafts correspondence including congratulatory or commemorative letters, press quotes, and talking points.  Develops and maintains high functioning relationships with division leadership, team members, and business units across the Authority to advance priority projects for the Authority's Chief of Staff, Deputy Chief of Staff, CEO, and Executive Committee.  Assists with strategic planning and operational support for priority events including, but not limited to, the annual NJEDA Board Retreat, Bi-Annual Business Reviews, Offsites, Operating Committee Meetings, and NJEDA All-Staff events.

Promotes teamwork and communication to encourage an interactive, cooperative, collaborative and customer focused work environment among division, NJEDA staff and external customers. 

Reporting Structure: 

The Staff Assistant / Coordinator will report to the Authority's Deputy Chief of Staff, and will provide support for the Authority’s Communications, Marketing, and Events, Diversity, Equity and Inclusion, Economics and Data Analytics, Policy, Intergovernmental Affairs, and International Innovation departments. Must complete annual self-assessment as required. Performs other duties and special projects, as assigned.  Qualifications

Soft Skills: 

Strong analytical, writing and proofreading skills and proficient use of proper grammar and punctuation. Ability to undertake research, draft documents, and summarize in an easily understandable format. Ability to prioritize workload, must be highly organized, detail-oriented, handle various tasks simultaneously and work independently within limited time constraints with little or no supervision. Ability to effectively interface with a broad range of audiences including senior management, , staff, government officials, and other external partners. Demonstrate ability to gain a thorough knowledge and understanding of NJEDA programs and services. Must be able to maintain confidentiality and deal effectively and diplomatically with external stakeholders and NJEDA staff. 

Certifications: 

N/A 

Experience: 

2-5 years full-time employment or internship experience in working with public or elected officials’ offices, governmental offices, or state agencies preferred.   Advanced degree or industry specific certification may be substituted for 1 year of experience 

Education: 

Associate’s degree or equivalent experience; Bachelor’s degree preferred. 

Software/Tools Proficiency: 

NJEDA utilizes Microsoft as the core application platform and proficiency in the Microsoft Office Suite is preferred.

Certificates and Licenses Required 

Staff are required to possess a driver's license valid in New Jersey only if the operation of a vehicle, rather than employee mobility, is necessary to perform the essentials duties of the position.
