Occupational Summary
Perform administrative duties of a complex and confidential nature in support of departmental administrative responsibilities. Apply knowledge and skills to resolve complex non-routine administrative problems independently or with others.
Financial Accounting:
− Process out-of-pocket reimbursements for selected faculty & staff
− Serve as Concur (online travel system) and reimbursement initiator for assigned faculty & staff using discretionary or grant funds.
− Coordinate with undergraduate students and faculty to expend annual Undergraduate Research Support (URS) awards. Oversee awards and process expenditures in accordance with URS Office guidelines.
− Reconciliation of annual Mentorship awards provided to departmental advisors (faculty and graduate student) of undergraduate students (distributed by DUS), processing expenditures as required.
Personnel: Academic Jobs Online (AJO) & JobX Assistant:
− Setup and coordinate application process for faculty and research staff recruitment in Academic Jobs Online system closing out jobs and submitting final reports to Office of Institutional Equity.
− Setup and coordinate application process for undergraduate and graduate student work-study recruitment in JobX online system closing out jobs and submitting hires to Payroll Clerk
Perform other related duties incidental to the work described herein:
− Assist Staff Assistant with departmental seminars (held weekly). This could include making travel arrangements for visiting external speakers and reserving rooms for meetings.
Minimum Qualifications
Education
Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in administrative support or a relatedbusiness field.
Experience
Work generally requires three years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities. OR and equivalent combination of education and relevant experience.
