Our Medical Staff Office located in Elkton, MD is looking for a full time Staff Assistant VIII to provide administrative support to the department to maximize their effectiveness and efficiency.

The responsibilities of the Staff Assistant VIII will include;

Maintains schedule of Department and Medical Staff meetings. Schedules meetings for Medical Staff leadership, including monthly Staff Credentials, Medical Executive Committee, and Leadership meetings and others as required. Provides all pertinent information needed for scheduled meetings and coordinates room reservation, catering etc. as needed.

Provides administrative support including typing and drafting correspondence, attends meetings, composes agendas, takes and types minutes, maintains up to date filing systems, fax communications, composes presentations, opening, screening and delivery of mail. etc.

Maintains and stocks office supplies. Checks receipts for incoming materials.

Provides daily department support for staff needs. This includes preparation, submittal and tracking of Requisitions, Purchase Orders, Check Requests, Petty Cash Requests, and Travel Expense Statements. Maintains organized files for tracking.

Manages and maintains contracts to ensure that Management has all information necessary to ensure timely handling (renewal, termination, and renegotiation) occurs.

Answers telephones adhering to Telephone Etiquette Standards of Performance guidelines. Provides assistance and/or direction for callers as necessary. Greets visitors and notifies Management of their arrival.

Manages conference room schedules. Assists with audiovisual setup accordingly. Maintains daily room schedule.

Maintains organized department budget files and keeps Management informed on expenditures.

Assists in coordination of Facility requests (e.g. moving of IT equipment, furniture moving, painting, carpeting, electrical and HVAC problems) for Department.

Maintains all data for the department.

Acts as liaison for new providers onboarding to Union Hospital, including coordination of orientation and support for system access.

Monitors provider license expirables and initiates communication with providers and department leadership.

Maintains department compliance for all mandatory education requirements.

Completes special projects as requested.

Communicates between all levels within the Department and other departments, utilizing both written and verbal communication skills.

Provides back-up support for Manager of department as needed.

Performs assigned work safely, adhering to established departmental safety rules and practices. Reports to supervisor in a timely manner, any unsafe activities, conditions, hazards or safety violations that may cause injury to oneself, other employees, patients and visitors.

Plans and coordinates medical staff events in collaboration with President Union Medical Staff, CMO and Corporate Director, including but not limited to, annual Medical Staff dinner, annual Doctors Day Celebration, President’s Roundtable, and annual Golf Tournament.

Performs other related duties as required.

Day ShiftQualifications:High school diploma or equivalent;Completion of a business college program in Secretarial Science or Office Administration or related field preferred.Four years prior experience in Administrative Assistant position.About ChristianaCare
