Staffing Secretary
Job Summary

Under supervision of the Staffing Coordinator and according to established policies and procedures, prepares and maintains staffing schedules for nursing units and updates hours worked daily for payroll purposes. Contacts necessary personnel to work in order to complete staffing plan and maintains related records.

Essential Functions

Prepares master staffing schedules for nursing units assigned in order to ensure adequate resources to operate the unit.

Updates daily staffing schedule by posting "call ins", reviewing current and planned patient census and doing what is possible to meet the staffing demand.

Prepares daily staffing sheets, listing all personnel working on the individual units.

Prepares payroll records daily for each nursing unit in order to ensure that all hours worked are recorded and enters information into the Payroll system through a computer terminal.

Conducts bi-weekly audit of payroll period in order to monitor the accuracy of data input and to minimize payroll adjustments.

Works with Unit and House Managers in order to review staffing levels and planned patient census ensuring that nurses are available to provide quality nursing care.

Responds to questions from employees regarding their schedule, payroll questions, staffing policies, etc.

Develops and maintains payroll and schedule statistics and related records, types, schedules, distributes and mails staffing sheets and distributes pay checks.

Maintains time and attendance for the nursing units assigned and works with unit manager to prepare for discipline if needed.

Meets with unit manager regularly to review payroll for assigned units to discuss variances or issues identified.

Qualifications

Required

High School Diploma or equivalent

6 months of relevant experience Minimum six months’ clerical support experience in a hospital or medical office environment.

Requires successful completion of six to twelve months on-the-job orientation to become familiar with hospital unit staffing plans, policies and payroll timekeeping requirements.

Preferred

Previous unit secretary, scheduling or staffing experience.
