Shift M-F 8am -5pm Job Summary We are seeking a dedicated and organized Temporary STEPS Administrative Assistant to provide comprehensive administrative support to faculty, track coordinators, and associate/assistant deans within the undergraduate nursing programs. This position plays a vital role in ensuring the smooth operation of the undergraduate nursing programs by managing schedules, organizing materials and meetings, and handling the preparation and tracking of important documents.

Key Responsibilities:
Administrative Support:
o Assist faculty, program track coordinators, and associate/assistant deans with day-to-day administrative needs.
o Coordinate schedules and maintain calendars for meetings and events.
Document Creation and Management:
o Prepare, edit, and format documents, presentations, and reports.
o Track and organize documents to ensure timely completion and submission.
o Maintain accurate records and filing systems.
Meeting and Event Coordination:
o Schedule and organize meetings, including reserving rooms and arranging technology needs.
o Prepare and distribute meeting agendas, materials, and minutes.
o Assist in coordinating events related to the undergraduate programs.
Program Support:
o Support the tracking and completion of administrative materials related to the undergraduate nursing programs.
o Assist in compiling and organizing program materials for students and faculty.
o Provide logistical support for program activities as needed.
Communication:
o Serve as one point of contact for inquiries related to the undergraduate nursing programs.
o Respond promptly and professionally to email and phone communications.
Other Duties:
o Perform additional tasks as assigned to support the overall goals of the undergraduate nursing programs.
This is a temporary STEPS full-time position. Work hours typically are Monday to Friday, 8:00 AM – 5:00 PM. This position is an on-site position. Skills / Knowledge / Abilities Education: Associate degree required, bachelor’s degree preferred.
Experience: Previous administrative support experience, preferably in an academic setting.
Skills:
o Strong organizational and time management abilities.
o Excellent written and verbal communication skills.
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
o Ability to handle multiple tasks and prioritize effectively.
o Detail-oriented with a high level of accuracy.
o Ability to work both independently and collaboratively in a team environment. Does this position have supervisory responsibilities?
