STORES SPECIALIST (SHIP STORES)

Job Summary:

Assists in the acquisition of resale merchandise visual merchandising aids and minor equipment for use in ships stores afloat. Participates with supervisor in merchandising activities of stock selection sales promotion etc. for the Navy Ship Stores.

Duties and Responsibilities:

Works under the general supervision of a designated supervisor who provides initial detailed instructions on procedures policies and methods. Work is reviewed in terms of accuracy timeliness and compliance with supervisory directives through discussion and spot checks. Utilizes guidance contained the NAVSUP Publication 487 Ships Stores Afloat as the primary source for policy and procedures and the Ships Stores Afloat Visual Merchandising Guide to determine appropriate visual merchandising aids and equipment for each ship.Assists ships stores with purchase order processing follow-up status reports and purchase order modifications. Provides feedback correspondence information to ships stores either via email fax mail or telephone. Makes authorized small purchases for ships stores merchandise visual merchandising aids and minor equipment utilizing the Government Wide Commercial Purchase Card Program as an assigned Cardholder.As an OMN Purchase Card holder makes authorized small purchases of office supplies. Enters purchase data into the NAVSUP ERP Program.Provides fleet support to San Clemente Island and San Nicolas Island using the GPC card to purchase ships store merchandise. Requires attention to deadlines to ensure orders meet weekly shipments.Works with the NEX POC to source fashion solutions unique to Diego Garcia. Places orders for the island using GPC. Submits orders over GPC threshold to Fleet Logistic Center FLC Norfolk for processing.Navy Electronic Commerce On-Line NECO System. Manages the operations center for the Ships Store electronic ordering system. Is the first point of contact for payment problems between ships and vendors. Works with Defense Finance and Accounting Service DFAS . Provides login assistance to ships for the NECO system.Develops on a periodic basis listings and revisions to the Automated Ships Store Afloat Catalog from which ships stores order popular luxury and semi-luxury items for stock i.e. cameras stereo equipment watches etc.Develops on a periodic basis listings and revisions to the Automated Ships Store Special DD 1155 Catalog from which ships stores order stock items that are not normally listed in either the Automated Ships Store Afloat Catalog or the Automated Ships Store Contract Bulletin i.e. emblematic medallions coasters etc.Submits vendor merchandise information to appropriate Merchandising Division Buyer for necessary review and approval evaluation for new products.May meet with vendors coordinate and communicate ships store program merchandise requirements to new vendors and assist current vendors with updating vendor listings.Maintains and updates computer database programs with current vendor information researching and tracking product in shipment.Acts as liaison between vendors and ships stores performs a variety of services such as following up for vendors on delayed payments informing Ships Store Officers of vendor product information changes or researching and tracing product in shipment.Assists with preparation and obtains current visual merchandising vendor information for inclusion in the Ships Stores Afloat Visual Merchandising Guide updates. Releases interim vendor information updates to the ships stores as necessary.Maintains ships store stock number control log and assigns new numbers to vendor merchandise that is approved for listing.Composes various correspondence to other departments distributors Fleet Assistance Teams manufacturers and ships stores for Merchandising Branch Manager or Ships Store Program Director on matters pertaining to the Merchandise Requirements Branch.Supervises one subordinate associate provides training on new programs and work assignments. Coordinates daily assignments for data entry tasking and reviews completed work of submitted by the subordinate. Work is reviewed in terms of accuracy timeliness and compliance with supervisory.Acts as Records Manager for Code A responsible for all Code A Records which includes e responsibility of records lifecycle. management maintaining records dispositions of records and vital records and Senior Official Records.Acts as Safety Officer Fire Warden Officer for Code A.Performs other related duties as assigned

GENERAL EXPERIENCE: Three years of experience gained in administrative merchandising or other responsible work that enabled the applicant to gain general knowledge of management practices and administrative processes skill in dealing with others in person-to-person work relationships and the ability to exercise mature judgement.

OR SUBSTITUTION OF EDUCATION FOR EXPERIENCE: One year of academic study above the high school level may be substituted for nine months of experience up to a maximum of a 4-year bachelor s degree for three years of general experience.

SPECIALIZED EXPERIENCE: One year of experience that provided a background in merchandising including procurement practices maintenance of sales promotion and inventory management or similar work that demonstrated the knowledge and abilities to perform ships stores and services work.
