The University of Virginia Darden School of Business, one of the world's leading business schools, seeks a Student Affairs Administrative Coordinator. This position is responsible for providing an elevated level of administrative support to the Office of Student Affairs (OSA), as well as serving as the suite receptionist for the Student Affairs office. Responsibilities include addressing student, staff, and faculty concerns in a friendly and helpful manner both in person and via e-mail, event coordination, program support, and providing project management support for the Office of Student Affairs with opportunities, as time allows, to support cross-departmental student and school initiatives.

Responsibilities:
General Administrative Support:
Provide advanced administrative coordination to support office operations and special projects.
Serve as suite receptionist and first-line responder to student inquiries. Screen callers and visitors.
Coordinate meetings and appointments, including securing locations, arrange catering, and preparing support materials for meetings.
Support student clubs with food ordering, sign and nametag creation and copying needs.
Lead Start-of-School administrative logistics, including coordination with Darden and University offices.
Support student awards by compiling nominees, creating packets, and ordering gifts.
Manage and distribute the Darden Directory.
Manage correspondence to and from the Office of Student Affairs mailbox, distribution list, and phone line.
Expense tracking and oversee student club purchase requests.
Schedule, plan, and execute student interfacing touchpoints, including First Year Check-Ins, Second Year Exit Interviews, and walk-in student meetings.
Order supplies and oversee student mailbox and copy room areas.
Make travel arrangements and process travel reimbursements.
Manage electronic files and databases for OSA.
Create and distribute the OSA weekly newsletter during the school year.
Manage OSA external website updates.
Manage Darden Portal OSA pages.
Serve as the point of contact for facility, equipment, or service calls.
Event Management and Support:
Provide event coordination and day-of support for several student events throughout the year in collaboration with OSA colleagues. Examples of events include Start of School, Plus One Day, Spring Leadership Trainings, Second Spring Best Spring, Unsung Heroes, CAPS @ Darden Programming, Darden Community Conversations, Fireside Chats, and Dual Degree reception.
Maintain Darden Portal Student Events calendar.
Track budget expenditures for events.
Organize materials for special events and programs.
Oversee logistical components of orientation and graduation activities, including the annual Welcome Back BBQ and Graduation Picnic committee.
Process monthly expenses for meals and other billable events.
Represent OSA at the summer “Back-to-School” logistical meeting.
Affinity Group Student Support:
Provide logistical support for projects related to student affinity groups.
Assist with F-2 visa holders’ orientation logistics.
Plan and execute the International Thanksgiving Dinner.
Education and Professional Experience:
High School diploma required with at least 4 years of relevant experience required; bachelor’s degree may substitute for years of experience.
Demonstrated professionalism, customer service, teamwork, and a positive attitude.
Ability to work independently and maintain confidentiality.
Excellent ability to build and maintain effective collaborative relationships, including with a diverse set of staff, faculty and graduate students.
Excellent communication, customer service and time management skills.
Strong interpersonal relationship and teamwork skills.
Ability to manage multiple priorities in a professional office environment.
Preferred experience in higher education, working with students, faculty, and academic programs.
Proficiency with Microsoft suite office programs and familiarity with virtual meeting tools (Zoom preferred).
