Support the Emergency Medicine Clerkship Director and Clerkship Co-Director to plan, organize, administer, implement and develop the Emergency Medicine Clerkship (required rotation for all third year EVMS medical students).  This position requires a proactive ability to strategically assess and manage the operational components of a clinical rotation as well as coordinate and supervise the delegation of work relating to clinical rotations.

Responsibilities

GLOBAL

In the absence of the Clerkship Director and/or Clerkship Co-Director, respond to and resolve issues as raised by students, clinical sites and preceptors.Assist with planning for each academic year.Provide other support for program development as directed by the Clerkship Director or Clerkship Co-Director.Continually strive to improve the clinical year processes, offering suggestions and notifying of all concerns.Analyze and organize the logistics of the Clerkship for maximum efficiency of workflow.Support the Clerkship Director and Clerkship Co-Director in the orientation process of clinical preceptors. Manage multi-line phone system and coordinate incoming calls/emails.  Take messages and triage calls/emails to appropriate staff/faculty/Clerkship Directors.Type memoranda and emails while ensuring accuracy of grammar, punctuation, spelling, and format.Prepare charts and graphs for needs of the Clerkship Directors. Attendance and active participation at EVMS Clerkship meetings.Schedule and attend Clerkship leadership meetings 9 weeks prior to the start of every rotationSchedule and administer Friday exams through the Testing Center and/or Library Computer ClassroomSchedule and attend weekly meetings with Clerkship Directors

 

ORIENTATION/ SCHEDULES/COORDINATION OF STUDENT EXPERIENCES

Monitor the completion of all pre-placement student requirements in coordination with the Student Onboarding team.
Maintain and update policies related to student placement at rotation sites.
Maintain preceptor and site information, including availability for each block.Facilitate and monitor and follow-up on student submission of elective preferences and student-initiated elective requests.Ensure student-initiated elective requests are executed within the bounds of EVMS and LCME guidelines for agreements, faculty appointments and student onboarding.Update documents for specific student and site requirements. Originate and maintain documentation/schedules for student and preceptor for each student placement to include but not limited to call schedule, team assignments, (approx 24-26 students every six weeks).Develop and disseminate schedule/student information to both student and preceptor/site designee. Create student schedules for all learning/educational programs in advance of each academic rotation and disseminate to both lecturers/teachers and students to include but not limited to student morning report, simulation, weekly afternoon didactics. Reserve classroom/appropriate equipment in advance for lectures/teachers.Support the Clerkship Director and Co- Clerkship Director in the orientation of students (approx 24-26 students every six weeks).

 

ASSESSMENTS/GRADING

Monitor completion of student evaluation of clinical sites and preceptor. Monitor completion of preceptor (attending and resident) clinical evaluations of each student.  Coordinate with preceptors as needed in order to achieve timely completion of evaluations.Access evaluation system to obtain information from student activity logs and evaluations to generate reports used for program planning, evaluation and accreditation (approx. 150 students).Collect and organize assessments for each student to include but not limited to graded written documentation, student morning report presentation, clinical evaluations of each student, professionalism, final subject examination.Input assessments for each student into a word excel document to calculate final clerkship average and final grade. Input data from word and excel documents to assist the Clerkship Directors in creating the final Clerkship narrative for each student (approx. 24-26students every four weeks).Access evaluation system to obtain information from student activity logs and preceptor evaluations to generate reports used for program planning, evaluation and accreditation.Create excel databases for all students rotating on the Clerkship for each academic year.  Calculation and determination of averages, standard deviation, and quartiles for each assessment to include but not limited to written documentation, student morning report presentation, clinical evaluations of each student, professionalism, final subject examination.

ADVISING

Coordinate and schedule meetings with each student and Clerkship Directors.

 

ADDITIONAL DUTIES:

Performs other duties as assigned. Qualifications

Associates Degree preferred, plus one (1) year of multi-tasked work experience.

Previous experience in an Academic setting is preferred.

Must be self-motivated, able to set goals and distinguish priorities. Must have computer skills including Word, Excel, and Outlook.
