About the Office of DVM Student and Academic Services

The Office of DVM Student and Academic Services in the College of Veterinary Medicine provides personalized, friendly and efficient service, supporting students in admissions and financial aid, academic counseling, and student life.  The office also provides support for veterinary student organizations, off-campus student experiences and career planning.

The Opportunity

The DVM Office of Student and Academic Services is seeking a dedicated and detail-oriented Student Services Assistant to provide comprehensive administrative and student service support for DVM Student Financial Planning and DVM Admissions. This role plays a vital part in ensuring students and applicants receive the guidance and resources they need for success in their academic journey.

Key Responsibilities:

DVM Student Financial Planning Support:

Counsel students and parents on financial aid policies and procedures.

Maintain accurate financial aid files and documentation.

Assist in the coordination and delivery of financial planning resources.

DVM Admissions Support:

Respond to questions from applicants and pre-applicants.

Manage applications for targeted application programs.

Provide general support for admissions processes.

Assist with outreach activities to strengthen the applicant pipeline.

Help maintain public-facing communication platforms.

Support campus-based admission activities, including recruitment events.

General Administrative Support:

Provide additional support to the DVM Office of Student and Academic Services during peak periods.

Serve as the secondary point of contact for student services and admissions inquiries.

Manage incoming postal mail and ensure proper distribution.

Help maintain office supply inventory and assist with purchasing coordination.

This is a full-time (39 hours/week) Contract College position that is based in Ithaca, NY and fully on-site. Work hours are 8am-4:30pm Monday through Thursday and 8am-4pm on Fridays.   

What You Need

We are looking for a team member who is collaborative, embraces learning new technologies, and excels in both verbal and written communication. Additionally, you will: 

Hold an Associate’s degree with 2-4 years of experience in student services, financial aid, admissions, administrative support or related area, or equivalent of education and/or experience.

Have experience managing sensitive and confidential information with discretion, integrity, and professionalism.

Demonstrate experience and comfort level with different office productivity software (e.g., MS Office, PeopleSoft), including the use of advanced platforms to develop products to meet business needs. Must have initiative and the desire to consistently seek ways to create efficiencies using technology.

Possess a strong understanding and significance of accuracy in the management of student information and have a demonstrated track record for attention to detail.Excellent customer service, and communication skills (both written and oral) are required.

Work well in a team; promoting and supporting cooperation and respect as well as ability to develop effective working relationships and collaborate with a wide variety of faculty, staff and students.

Demonstrate professionalism and handle difficult or stressful situations with courtesy, sensitivity, tact and firmness.

Have exceptional financial literacy.

If you possess these experiences and skills this may be the role for you! There are a few other qualifications we would view as incredibly helpful in this role, to include: 

Bachelor’s degree and previous experience in a high-traffic student services office.

Experience in financial aid and

Understanding of FERPA/data privacy policies, including ability to interpret and apply policies to daily work.

Familiarity with pivot tables and reporting.
