Job Summary

The University of Chicago Press publishes more than 90 scholarly journals in the social sciences, humanities, biological and medical sciences and physical sciences. Many are sponsored by scholarly societies. Journals are published in both print and online formats. Responsibilities of the Fulfillment Specialist include keying subscription orders, processing author charges, executing processes in the Fulfillment system, independently responding to customer queries (12,000 – 15,000 emails received per year) and troubleshooting and resolving subscription problems.

Responsibilities

Manages the order process from subscription agents via our CRM (Salesforce). Checks the Bank online system to match payments which come through the CRM.Oversees the processing of invoices for author charges (page charges, color figure charges, and open access fees). Receives data from journal offices to generate the invoices.Reviews subscription orders that error out, note the causes, correct and process the orders. Reports problems via JIRA to the Subfill team.Executes preprocessing steps in large EDI files such as verifying Chicago reference numbers. Load EDI files that come in from subscription agents in the absence of the Subscription Technology Assistant.Collaborates with the Financial Administrator to match other payments with subscription orders. Prepares documentation on various procedural tasks in PUBS. Partners with the Fulfillment Manager in training student assistants and interns.Collaborates with the Journals Production and Marketing departments on special tasks. Manages the process of vetting, printing and mailing of subscriptions invoices including overseeing the work of student assistants. Assists the Business Development Associates with staffing the call center when they are unavailable.Oversees the monthly renewal process in PUBS for individual renewals.Collaborates with the Technology Manager on the on boarding of newly acquired titles. Responsible for account assignments and tier classifications.Provides administrative support for a leader. Stays informed of activities relating to programs and initiatives, apprising the leader of issues when deemed necessary. Coordinates information flow from leader's office.Prepare special reports and summaries, assists in managing daily operation of the office, and may assist in developing administrative goals and policies.Performs other related work as needed.


Minimum Qualifications

Education:

Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).


Work Experience:

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

College degree.

Experience:

At least three years’ experience working in a Subscription Fulfillment operation, including a broad understanding of the business of journals subscription management.Demonstrated ability to work with a high level of accuracy, independent thought, and judgment.Prior use and knowledge of spreadsheets at an advanced level.Prior use and knowledge of Salesforce.com preferred.Demonstrated organizational skills.Ability to establish priorities and exercise independent thought and judgment in a fast-paced environment.Experience in working with and meeting firm deadlines.Ability to handle simultaneous and often conflicting activities.

Technical Knowledge or Skills:

Demonstrated ability to touch-type accurately and efficiently with a minimum of 45 WPM.

Preferred Competencies

Handle sensitive financial data.Basic knowledge of the various academic disciplines.Basic knowledge of geography.Demonstrated excellent written and oral communication skills.Interact/communicate with clarity, tact and courtesy with individual, institutional and agency subscribers and others.Work effectively without supervision and as part of a team.Understand and compute percentages, working knowledge of addition, subtraction, multiplication and division.Ability to effectively use an adding machine.

Working Conditions

Must be able to handle multiple tasks simultaneously.A large amount of detail work, much of it involving memory.Frequent use of the computer and telephone are essential.Constant computer work (typing and looking at a screen for an extended period of time).Sitting for long periods.
