**Responsibilities:**
GENERAL PURPOSE:
The Supervisor, Surgery Scheduling demonstrates leadership to the surgical scheduling team which functions in a high volume, complex vascular surgery practice. The Supervisor also schedules inpatient and outpatient procedures consistent with the patient┐s diagnosis and case request. The candidate acts as a professional liaison for staff, hospital personnel, medical staff, and physician┐s offices. Position requires utilization of clinical knowledge to schedule appropriate procedures/surgeries per provider┐s case requests. Also requires strong customer service skills with patients, employees, and the public in addition. The Surgical Scheduler must be able to respond to both written and oral correspondence regarding scheduling changes/cancellations in a timely, accurate manner. Individual must be organized and be able to manage demanding workload with accuracy.
Schedules surgical procedures, diagnostic tests, therapy services and other medical appointments. May obtain related documentation (e.g., patient information, insurance coverage). Coordinates and supervises the daily activities of a support, production or operations team. Sets priorities for the team to ensure task completion. Coordinates work activities with other supervisors. Decisions and problem-solving are guided by policies, procedures and business plan. Receives guidance and oversight from manager. Coaches team members on performance, completes employee performance evaluations and recommends pay actions.
RESPONSIBILITIES:
Acts as a preceptor for new staff (training, onboarding, monitoring competencies) in the division. Works with Practice Manager to develop and revise division specific documents and materials, such as training material, standard work documents, policies, and procedures. Identifies and communicates opportunities for improvement to increase utilization and/or staff job performance. Attends educational and professional development meetings for department at direction of supervisor and distributes pertinent information to all PSS staff.
Performs quality assurance monitoring for all job duties using specific criteria, measuring the quality, quantity, and timeliness of tasks performed by direct reports. Prepares related logs and management reports, and works with Practice Manager to complete annual performance reviews of reporting staff. Works closely with Vascular leadership team to investigate root causes of job specific errors and improve workflows as needed. Continuously evaluates workflows for improvement opportunities.
Schedule surgeries based on surgeon┐s schedules, available dates, and communicated case urgency and appropriately maintains the provider┐s calendar.
Schedule with appropriate location (SMH, HH, FFT, Sawgrass, Canal View), utilizing appropriate CPT codes and obtaining necessary prior authorizations with payers.
Schedules necessary preoperative testing and post-operative follow up as indicated
Researches eRecord and other databases and/or files for accurate patient scheduling information, ensuring all relevant appointments are scheduled and diagnostic imaging results scheduled and received
Coordinates device representatives to be present during various procedures to assist surgeons in deployment
Negotiates surgical/procedural schedule by communicating complex details directly to the Operating Room scheduling office and Ambulatory Surgical Center Staff.
Using independent judgement, authorizes overbooking and rearranging of surgeons operating room schedules based on case complexity, medical urgency, and provider preference. Authorizes and arranges rescheduling when cancellations occur by applying protocols for surgical scheduling
Performs triage on incoming calls to determine what action can be taken at the time of call, what calls should
Other duties as assigned
QUALIFICATIONS:
Bachelor's degree and 2 years of relevant experience required.
Or equivalent combination of education and experience required.
Medical Terminology, electronic medical records experience, customer service skills preferred.
