Supervisor, Cash Operations

Position Summary:

The Supervisor, Cash Operations position contributes to oversight of the Cash Application team to ensure that work is completed accurately and timely per department policies and procedures. Responsibilities include direct and indirect supervision of Cash Operations associates, active involvement in department projects, generating department reports, reviewing cash activity, completing audit requests, resolving cash application issues, coaching team members, and reviewing department processes to look for efficiency gains. The Supervisor will handle technical issues and questions and make recommendations for system enhancements.

Primary Accountabilities:

Team Supervision (60%)

Establish, implement and monitor internal controls for team members; ensure members are cross-trained and backups are assigned and in place. 

Ensure daily processing tasks are completed as required to meet daily balancing and monthly close requirements.

Train new hires and perform advisory functions for Cash Operations team members.

Ensure  efficient and timely processing and tracking of incoming mail in accordance with organizational standards and deadlines.

Demonstrates leadership by identifying team development needs, providing coaching and training opportunities, and fostering a culture of continuous improvement to enhance individual and collective performance.

Oversee and manage the achievement of annual targets and key performance indicators (KPIs) by monitoring progress, analyzing performance metrics, and implementing strategies to ensure goals are met or exceeded.

Cash Operations Duties (25%)

Daily retrieval of payment data from banks and other money sources, prepare data for posting (US & Canada Companies).

Ensure posting of payments to various applications/systems to ensure A/R aging data is maintained in an effective, timely and accurate manner (includes credit cards and check writing).

Analyze and review clients DSO, provide reporting to clients and internal team members; provide recommendation for client holds, write-offs, terminations.

Review credit balances, refunds, adjustments and apply adjustments and/or corrections to invoice records.

Investigate and resolve invoicing discrepancies or misapplied cash transactions.

Balance daily posting batches to bank data; prepare and distribute reconciliation reports and statistics to key personnel.

Work with clients to make payment arrangements for outstanding and late accounts; prepare documentation for manufacturer/agent (vendor forms, W9, etc.).

Other Duties and Special Projects (15%)

Assist in the integration of new businesses (Inmar acquisitions) into operating systems.

Recommend and implement new policies/procedures for operational improvement.

Participate in the annual SOC audit.

Schedule and lead collection meetings for appropriate lines of business.

Assist in creating and maintaining Cash Operations SOP’s (Standard Operational Procedures).

Assist with invoice and job range assignment for our Mexico processing facilities (including Digital).

Assist with special projects

Required Qualification:

Bachelor’s degree or equivalent experience work experience and/or any equivalent combination of experience and training that provides the required knowledge, skills, and abilities needed to complete the major responsibilities/essential functions of the position

1+ years of leadership/supervisory experience in the Cash Operations setting

Oracle or other ERP experience (NetSuite, Great Plains, The Wizard, Sage Intacct).

Strong written and verbal communication skills with all levels of staff are required

A strong attention to detail and the ability to complete job duties with a high degree of accuracy

Excellent customer service skills

Excellent leadership skills and people management aptitude

Well-developed analytic and problem-solving skills

Experience in gathering data, compiling and preparing accounting reports
