Job Summary:
Responsible for the supervision of all day-to-day operations of the Facilities Department at the Hawai‘i Convention Center, adhering to guidelines set forth by management and ensuring that department safety protocol is followed at all times.
SUPERVISES FACILITIES DEPARTMENT:
Provides day-to-day supervision of Department to meet the needs of the venue and client(s). Ensures all team members are properly uniformed, adhering to safety practices and following company/department procedures.Assists Administrative Supervisor in coordinating the work efforts for all event set-ups and customer service needs prior to and during an event at the Hawai’i Convention Center.Reports violations to company and/or department policies to Director of Events, upper management and/or Human Resources. Schedules meetings accordingly to review staff performance and discuss necessary action(s).Provide hands-on supervision, training and re-training where necessary to ensure employees understand and can adequately perform their job duties. Maintains open communication while ensuring awareness of all current activity or issues which may require immediate action or intervention. Responsible for the distribution and quantity of essential supplies and equipment. Ensures staff has adequate supplies, tools and materials on hand and available.MANAGES LOADING DOCK:
Coordinates all loading dock operations of the center including freight, trash, and recycling. Directs event and loading dock issues as they pertain to the center.Manage dock reservation calendar effectively for clients and vendors alike.Control of and secure receiving area/gate, client/exhibitor, vehicle and freight deliveries for various departments.Controlling multiple vehicles safely in congested dock area.MANAGE RECEIVING PROCESS:
Ensuring all goods are properly received and inspected; shipments are of acceptable quantity and quality and conform to the specifications and other requirements of the purchase order.Rectifying damage/shortage/return discrepancies.Coordinate vendor deliveries of goods; handle outbound shipments; contact freight forwarder; set up pick-up point.Tagging equipment, as necessary upon delivery.Ensure area is in compliance with Safety Regulations and reports any concerns to management.Delivers goods to various persons, departments, offices etc.TRAINING & SAFETY:
Responsible for training Facilities staff on a regular basis on various topics including, but not limited to; safety and SOP’s. Maintains understanding of the buildings rules, regulations, inventory and USI operations.Ensures staff abide by all Safety policies and procedures relating to chemical handling and equipment.Operates and oversees staff operation of equipment.Manages projects of preventative and routine maintenance from start to finish. Collaborates, as needed, with various departments to ensure high quality and timely project completion.INVENTORY MANAGEMENT:
Participate in routine physical inventory and maintain inventory control program under the direction of management. Makes recommendations to Management of program improvements as needed.Initiates and coordinates a comprehensive inventory control of all event related equipment on a daily and long term basis.Required Qualifications (Job Knowledge, Skills, and Education):
A minimum education level of: High School Diploma or its equivalency A minimum of 2 years of related work experience.Must have knowledge of supply, inventory management, warehousing, purchasing or related field.Effective oral and written communication skills. Communicating tactfully and courteously.Must have computer knowledge and skills (Microsoft Office 365, Word, Excel, Email, Internet, etc.).Ability to thrive in fast paced, deadline driven environment.Forklift certified and ability to operate other loading dock equipment such as pallet jack.Requires working under pressure, meeting deadlines, handling schedules. Requires excellent organizational and time management skills.Must be able to be lift/carry 51-100 pounds.Must be able to work in difficult positions. This includes frequent exposure to sitting, standing, walking, twisting/bending/stooping, reaching, use of fine finger movements, hand/eye coordination, pushing and pulling.Demonstrated ability to follow department and company procedures accurately and efficiently.Ability to establish, support and maintain a high standard of productivity in the department.Must possess effective people skills and display an attitude of cooperation and willingness to assist at all times.Must be able to work varied shifts, weekdays, weekends, holidays and additional hours as venue schedule requires.Must have the ability to work harmoniously in a team setting exhibiting the “Aloha Spirit” to fellow workers, guests, clients and the community so as to provide exceptional customer service while demonstrating behaviors that reflect the Hawai‘i Convention Center’s vision, mission statement and values.Hourly rate of pay depends on experience $21.75 - $28.85 per hour
