Major Responsibilities:Responsibilities include, but are not limited to: • Responsible for procurement requests received and their review.• Liaise with SC and Program Teams regarding procurements and ensure implementation of recommendations.• Ensure that procurement is carried out in accordance to IRC and donor-specific policies and procedures.• Procure all necessary items and services for programs and offices.• Generate all required procurement documentation and maintain records and files in an impeccable manner.• Coordinate with Finance Department to make sure that all payments are executed on a timely manner.• Assist program staff with raising purchase requests (PRs) and provide price estimations of goods requested.• Provide any necessary updates to program staff and all relevant actors.• Produce routine purchase status including commitment and other SC reports for SC Manager, Programs and Finance.• Maintain a complete filing system for all procurement related documents according to IRC Procurement Manual.• Preparation of procurement contracts, POs and processing tenders.• Conduct regular market surveys whenever appropriate and identify new vendors.• Update any relevant SC tracker (Contract, Procurement, Asset) and ensure timely communication for any necessary action to be taken.• Support with Asset management as needed and regularly coordinate with IT officer for maintaining asset stock on appropriate levels. • Establishing and maintaining good professional working relationships with suppliers, contractors and inspection companies whilst strictly adhering to IRC’s anti-corruption guidelines and IRC’s code of conduct.• Assist when needed in managing and processing travel requests (national and international).• Ensure all office equipment is stocked with required supplies (stationary, cleaning and kitchen supplies, toner, paper etc.).• Review and verify bills received for the office, including utilities, maintenance, provision of standard supplies, new furniture or equipment and prepare payment requests; undertake analysis of bills to make recommendations on most cost-effective billing approaches.• Any other duties or tasks delegated by Supply Chain Manager.Job Requirements:• Valid drivers’ license and extensive driving experience.• Clean record.• Good spoken and written English.• Conscientious with an excellent sense of judgment.• Strong organizational and negotiation skills.• Ability to work simultaneously on multiple tasks.• Willingness and ability to work effectively with a wide variety of people.• Ability to work as part of a team and coordinate with project personnel.• Good computer skills specially working with spreadsheets.• Knowledge on ERP system will be consider an advantage.
Working Environment: • Standard office environment in Athens, Greece. Working from home one to two days per week. Monday to Friday, 09:00 to 17:00.
