Job Summary:

Support supply chain and procurement department activities including maintaining files, logs, records of invoices, purchase orders and other related documentation. Assist in expediting orders and may assist buyers in contacting vendors to obtain prices and schedule delivery dates. May develop and maintain resources for assigned commodity items and prepare standard requests for quotation. Assignments may require initiative regarding pricing revisions, order cancellations, discontinued items, acceptable substitutes, delivery date revisions and invoice discrepancies. Responsible for all aspects of distribution and collection of supplier add documentation, maintenance, and updates, in accordance with Government (ITAR), ISO, and financial requirements. This includes obtaining required forms, vetting all new suppliers via company policies and procedures, adding all supplier data to the ERP (SAP) database, reviewing for accuracy and completeness, and storing back up data. This job will carry some Buyer responsibilities including indirect spend and some direct spend categories.

Job Duties & Responsibilities:

Supplier documentation, maintenance and updates.

Small business compliance and reporting.

MRO Procurement and Service Agreements.

Administrative support for supplier performance reviews.

Annual Conflict Minerals data assembly in support of 3rd party administrator efforts.

Annual Electronic Mailings for documentation requiring renewal certifications (i.e. ITAR registrations, Reps and Certs).

Manual and electronic filing.

Department credit card reconciliations and reporting to Finance.

Job Qualifications:

High School Degree or GED requires, Associates Degree or higher preferred.

1+ year of direct experience in an administrative/operations support role strongly preferred (ITAR environment a plus).

Experience working with ERP systems strongly preferred (SAP a plus).

Strong working knowledge of MS Office Suite, intermediate level Excel skills.

Excellent communications and organizational skills.

Works well with multiple teams/people and self-starter.

Applicants must be either a U.S. citizen, U.S. national, legal permanent resident, asylee, refugee or must be eligible to apply for and obtain the appropriate export control license from the U.S. Departments of State or Commerce.
