Job Title Supply Room Clerk Position Overview Supply Room Clerk Shaw Industries is looking for a Supply Room Clerk to support the supply room through spare parts inventory and managing appropriate stock levels to ensure the plant runs efficiently. The role of Supply Room clerk is vital in executing a Strategic Inventory Model. Responsibilities: 1.  Issue supplies as requested, and accurately fill out issue sheet with item number, description, department, date, and work order number. Enter all issues into the PeopleSoft inventory system using the correct account and department codes daily. 2.  Ensure that the appropriate personnel are using Sharp when applicable. 3.  Escort associates while they are in the supply room to help them find the correct parts. Unauthorized associates will not have access to the supply room without an escort. This ensures inventory integrity is maintained and aids in an efficient cycle count. 4.  Open all incoming shipments and verify that items received match the packing slip. Correct any discrepancies and / or contact the supplier or your Sourcing Specialist for assistance and complete an RTV (Return to Vendor). In accordance with the outlined procedures, receive incoming shipments into the PeopleSoft inventory System, including both inventory items and direct charge items. Put up items in the proper bin location or the direct charge location, at least daily. 5.  Receive in non-stock purchase orders and communicate items received to the requester. Label items with the requesters name and place in appropriate storage location. 6.  Each clerk will cycle count their assigned area and complete the count sheets, enter the counts in PeopleSoft, run a reconciliation report. 7.  Assist Shaw associates with finding parts in PeopleSoft inventory and catalogs to ensure the correct parts are ordered and / or issued. 8.  Ensure spare parts are maintained in an operational performance condition. 9.   RMA returned stock parts to inventory 10.  Comply with Corporate Records Management in relation to supply room documents. Qualifications: High School Diploma or equivalent preferred. Computer literate required and basic math skills are required. ● Strategic Requirements: • Ability to manage critical spares as defined by their management. • Attend required meeting necessary to fully execute the role. • Ability to identify urgent part needs (causing machine downtime or stock out items). Take action to ensure restocking including contacting other Shaw plants and / or vendors to get parts expedited and delivery date verified. Once the situation has been resolved the supply room clerk needs to analyze the data / inventory trends, to determine how a stock out can be avoided in the future. Also, linking existing parts. Once approved to supply, create a bin location and adequate labeling. • The ability to research new part requests (Item Adds) to prevent duplicates and ensure that the new part is created with a standard description utilized across the organization. • Ability to clear match exceptions in a timely manner. While working with Accounts Payable, Sourcing, Buyers and Vendors. • Ability to ship packages. Make sure the shipper is filing out the Return / Shipping form. Utilize Fed Ex Express. Complete BOL, label items being shipped and file paperwork. Make sure when the item is being picked up that the product and paperwork match and are signed properly. Coordinate with shipping and receiving departments for transfer of stock items to satellite locations. • Create orders through PeopleSoft E-Pro, Shaw Print Solutions, and Ricoh. • Train new associates to all programs needed to execute the responsibilities of the role. Physical Requirements: • Ability to stand or walk for up to 8 – 12 hours • Ability to bend, stoop, and squat while lifting or carrying parts or boxes of parts • Ability to lift packages weighing up to 50 pounds frequently • Must be able to be lift truck certified Required Competencies: • Communicate Effectively – The supply room clerk will be communicating with a variety of different audiences and will need the ability to adjust their communication accordingly. Communications will relate to inventory disposition, key measures of the supply room and overall best practices concerning supply room management. It will be critical that the supply room clerk be able to not only communicate these items, but ensure they are understood by their audience and actively listen, seeking to clarify where needed. • Solve Problems – The supply room clerk will need to be able to identify prosses for improvement within the supply room, father the necessary data, analyze the data, and make suggestions for improvements. To effectively implement innovative supply room solutions, the supply room clerk will need to understand key supply room measures and best practices. • Initiate Action – The supply room clerk will regularly encounter opportunities that need immediate action to ensure the plant continues to run smoothly. This role will need to be comfortable taking independent action to resolve these opportunities and will often need to step outside the scope of their job description to best meet the needs of their customers. • Collaborate - The supply room clerk will be communicating across the organization with various audiences. To effectively manage the supply room, they will often need to collaborate with these different groups. It will be vital that they work with the team to achieve their key measures, encouraging involvement and leveraging the different skill sets to solve problems.
