**Job Description**
**Summary:**
The Support Services Supervisor plays a critical role in maintaining operational excellence across the organization. This position is pivotal in managing a wide range of facilities and support services to ensure that day-to-day office functions run smoothly and efficiently. The role requires oversight of housekeeping, safety compliance, event coordination, and procurement processes, among other responsibilities. By acting as the central point of contact for building maintenance, utilities, and inventory management, the supervisor ensures a safe, organized, and productive work environment. The position also demands proactive engagement with various stakeholders, including third-party service providers, corporate teams, and regulatory authorities, to maintain high standards of service delivery. With strong leadership and organizational skills, the Support Services Supervisor contributes significantly to the organization's overall operational efficiency and employee satisfaction.
**Key Responsibilities:**
The Support Services Supervisor ensures efficient housekeeping services and oversees the provision of tea and refreshments for staff and visitors through third-party staff. Collaborate with the Building Maintenance Team for routine maintenance activities and maintain a minimal inventory of essential items to support operations. Acting as the primary contact for preventive and corrective maintenance, the supervisor liaises with Building Authorities and takes necessary steps to avoid operational disruptions. The role involves overseeing office renovations, managing seating adjustments, and ensuring an updated office seating plan. The supervisor maintains office supplies inventory, ensures timely procurement and issuance, and manages a small store for Personal Protective Equipment (PPE) and IT hardware, including inventory tracking, issuance, and replenishment. Allocated parking spaces are managed by issuing parking stickers, maintaining staff vehicle records, and coordinating with building security as per the Company Parking Policy. The Support Services Supervisor collaborates with the Corporate Communications department and other teams to support event planning and execution. They conduct regular inspections of fire alarm and suppression systems, ensuring preventive and corrective maintenance, and act as the Fire Marshal to maintain SH&E compliance. Additionally, the supervisor oversees courier services, including issuance of AWBs, tracking shipments, and ensuring timely deliveries. Reception operations are supervised to ensure seamless service delivery. The supervisor obtains and processes monthly utility bills for the warehouse, forwarding them for early payment processing, and maintains comprehensive records shared with the group as required. They provide the scope of works for relevant activities to the Procurement department, raise purchase requisitions, track approvals, and ensure timely delivery of items while supporting the delivery of procured items to various projects. The role includes safeguarding department records and managing the tagging and tracking of company assets. The supervisor monitors the validity of Civil Defense and other operational certificates, ensuring their timely renewals, and executes various administrative assignments as directed by Senior Management.
**Qualifications**
A bachelor’s degree in business administration, Facilities Management, or a related field is required. Candidates must have proven experience in facilities or administrative services management, strong organizational and multitasking skills, proficiency in MS Office Suite and facilities management software, and excellent communication and problem-solving abilities.
