The University of Miami UHealth – Orthopedic Sports Medicine at SoLé Mia has an exciting opportunity for a Surgery Scheduler 2.
The Surgery Scheduler 2 (H) acts as liaison between patients, professional staff, and physicians by scheduling and coordinating all necessary functions for surgical and diagnostic procedures. Further, the Surgery Scheduler 2 (H) acts as source of knowledge for scheduling staff and oversees their functions to ensure accurately and timely scheduling practices.
CORE JOB FUNCTIONS
Obtains pre-authorizations for procedures as required by insurance companies.
Oversees, produces, and distributes all surgical and procedural schedules to physicians and departments.
Collaborates with patients, families, staff, and providers within the office and the greater community to schedule surgeries, pre-op physicals, and testing.
Coordinates with hospitals and vendors for special cases or circumstances.
Identifies ways to streamline surgical scheduling process and provides suggestions to managing staff.
Ensures that electronic systems and scheduling tools are up-to-date and operating smoothly, and immediately contacts appropriate personnel to resolve any issues.
Ensures documentation is complete to support accurate billing of surgical procedures.
Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS
High School diploma or equivalent
Minimum 3 years of relevant experience
Knowledge, Skills and Attitudes:
Ability to communicate effectively in both oral and written form.
Skill in completing assignments accurately and with attention to detail.
Ability to process and handle confidential information with discretion.
Ability to work independently and/or in a collaborative environment.
Proficiency in computer software (i.e. Microsoft Office).
DEPARTMENT ADDENDUM
Department Specific Functions
Assist Clinical Program Coordinator with surgical related projects
Adjusts surgical calendar and case schedules according to departmental need and surgeons’ requests
Coordinates surgical cases that are performed jointly by multiple surgeons at the same time
Works with other members of the Department of Orthopaedics to strategically assign OR time to various surgeons in the department
Schedules surgery which entails knowledge of CPT and ICD-10 codes and general knowledge of pertinent anatomy
Schedules clinic visits, both pre and post-operatively as required
Communicates with other providers and their offices and assists with obtaining medical clearances prior to surgery
Collaborates with other departments to ensure patients are prepared for surgery, including medical clearances, pre-op testing (e.g. for COVID-19), and financial team (e.g. for estimate preparation)
Communicates with and lines up appropriate surgical representatives from surgical instrumentation companies (e.g. Arthrex) to ensure any necessary supplies and reps are present on the day of surgery
Serves as secondary point of contact for post-op care for patients including triaging patient concerns, answering post-op phone calls, communicating with providers, and providing patients with necessary orders such as home health, Durable Medical Equipment (DME), etc.
Cooperates with departmental leadership to maximize reimbursements, including adjusting authorizations, assisting with retro-authorizations, etc.
Assists department with obtaining insurance authorizations additional procedures as requested, e.g. external imaging study authorizations
