Surgery Scheduler - Southside Physicians Network ENT & Allergy

Our hospitals, care sites and clinicians are recognized for clinical and operational excellence. **Primary Function/General Purpose of Position** + Utilizing a variety of resources, coordinates the scheduling of surgical cases in ambulatory surgery, main OR, endoscopy, related ancillary and diagnostic services, preoperative tests, and patient appointments. + Assists with prior authorization for scheduled procedures. + Communicates scheduling information with providers, clinic staff, and patients. + Shares information with appropriate personnel to ensure the smooth processing of patients through the surgical pathway. + Provides front-office support duties including, but not limited to, obtaining referrals and pre-certifications, collecting co-pays and missing patient data, scheduling appointments, and coding fee slips. + Communicates and models mission and values of Bon Secours Medical Group. **Employment Qualifications** + Requires a high school/general education diploma, a combination of education and/or experience that is reflective of competency in physiology of disease, medical terminology and surgical procedures and equipment. + Requires 2-4 years of experience scheduling surgical procedures or front office clinic clerical work in the healthcare setting or in a related medical field. + Requires the knowledge necessary to use multiple software systems within Bon Secours. + Requires demonstrated intermediate computer knowledge and the ability to utilize software applications such as Microsoft Excel, Microsoft Word and Internet Explorer, and additional software programs as implemented . + Must be able to handle a fast-paced environment in a confident, professional manner. + Ability to listen compassionately demonstrating effective problem-solving and critical-thinking techniques. **Essential Job Functions** + Obtains appropriate patient data to ensue procedures are scheduled accurately and to facilitate smooth patient registration and insurance verification process. + Coordinates the scheduling of surgical cases, related ancillary and diagnostic services, preoperative tests and appointments. + Gathers pertinent information from physicians’ offices , surgical specialty coordinators, and other ancillary departments and vendors to accurately schedule surgeries with consideration for surgical case time, instrument and equipment conflict resolution ,and other required resources. Notifies surgical scheduling/surgical unit of any special equipment needs and requests. + Serves as primary customer relation for system with all surgeon offices, specialty nurse managers and surgical specialty coordinators, notifying them of surgical case scheduling changes, class attendees and daily case confirmations. + Proactively reviews and monitor daily OR schedule for conflicts, early request and special room needs -moving cases if needed to ensure smooth flow of cases. Communicates with surgical units to confirm surgical cases and verify order of surgical cases for the following day. Alerts scheduling supervisor or OR Manager of potential problems. + Maintain current doctor preference cards/procedure codes for over 15000 procedure and requires advanced knowledge of current procedural terminology to ensure correct procedure being scheduled. + Promotes teamwork through attendance in weekly team huddles and monthly staff meetings. + Participates in quarterly luncheons with MD practices in effort to enhance the relationship with MD and their staff. + Enters data timely into the journal and ensuring charges for each surgical procedure are processed daily. + Working with the OR manager, recommends policies and procedure changes as they relate to customer satisfaction and quality improvement. + Demonstrates the knowledge and skills necessary to provide customer service appropriate to all the age groups of patients served by Bon Secours. + Orients new scheduling coordinators as required. + Performs related clerical duties such as filing case confirmations and audit sheets. **Other Job Functions** + Other duties as assigned. **Working Conditions** + Normal office environment where there are few discomforts due to dust, dirt, noise, and the like. May rarely be involved in situations where patients react utilizing physical force. Visiting throughout the hospital for a significant majority of the workday. + The individual preforming this job may reasonably anticipate coming into contact with human blood and other potentially infectious materials.
