Job Summary
The Surgery Scheduler Team Lead is responsible for providing comprehensive support to scheduling staff and ensuring the delivery of high-quality service to patients. The Lead will act as a resource and go-to for staff with questions and issues that impact scheduling. Lead will perform quality assurance on work completed by other schedulers, make workflow improvements, and take an active role in interviewing and training new hires. The Lead will also serve as a scheduling float to cover vacations and other staffing gaps.
Duties and Responsibilities

+ Mentor the surgery scheduling team, providing training, support, and performance evaluations to ensure high-quality service delivery.
+ Lead the surgery scheduling team with the scheduling of all surgical procedures, ensuring appropriate allocation of operating rooms, surgeons, and support staff based on availability and urgency.
+ Ensure appropriate and timely communication with patients and their families regarding scheduling details, pre-operative instructions, and any necessary follow-up, ensuring a positive patient experience.
+ Maintain accurate and up-to-date documentation in the electronic health record (EHR) system, including tracking cancellations, reschedules, patient flow and ongoing communication.
+ Work closely with Patient Advocacy and other departments to streamline scheduling processes and resolve any conflicts or issues.
+ Identify and implement strategies to improve scheduling efficiency and effectiveness, including the development of best practices and standard operating procedures.
+ Ensure adherence to hospital policies, regulatory requirements, and quality standards related to surgical scheduling.
+ Evolve in your role when performing supplemental responsibilities as assigned.
Qualifications
Requirements and Qualifications
+ Bachelor's degree in a related field or associate’s degree plus 5 years preferred.
+ Proven experience (3+ years) as a Surgery Scheduler or in a similar role required.
+ Demonstrated knowledge of surgical procedures, terminology, and scheduling software.
+ Excellent organizational and time-management skills, with a keen attention to detail.
+ Outstanding communication and interpersonal skills, with the ability to work collaboratively with diverse teams.
+ EMR experience required, MEDENT preferred.
+ Computer skills required with minimum proficiency in Microsoft Word, Excel, Outlook, and Teams.
Physical Demands
+ Manual and finger dexterity and eye-hand coordination to enter data and operate office equipment.
+ Corrected vision and hearing within normal range to observe and communicate with patients, providers, and staff.
+ Frequently remaining in a stationary position, often sitting for prolonged periods working on a computer, telephone, copy/fax machine, and other office equipment.
+ Occasional standing and walking required.
+ Occasional lifting and carrying items weighing up to 10 pounds.
