Responsibilities The Systems Integrator will support the one of the sponsor's training offices by providing integration support across the organization to ensure seamless communication and transparency. Duties consistent with the Front Office Systems Integrator (FO SI) include acting as the primary assistant to the senior officers. The SI will be responsible for carrying out a variety of complex assignments and special projects for the sponsor's office. Responsibilities include, but are not limited to the following: Create and manage the Senior Leadership teams' calendar/schedule and provide support to office directors and employees, assisting in daily office needs and general administrative activities. Manage FO and recurring (weekly, monthly, etc.) calendar events Manage the sponsor's workflow and priorities by coordinating the schedule and anticipating steps ahead Focal point for all aspects of support to the principal(s) to provide embedded administrative support and enterprise services professionally, consistently, and reliably Take on additional projects that will include meeting minutes (with increasing knowledge of substantive areas over time specifically technical meetings), slide decks (updates on correct templates for stakeholders), Excel/Office spreadsheets. Provide information or respond accurately to routine to moderately complex questions and/or language issues and requests in a clear, concise, credible and courteous manner, and in an appropriate way. Prepare, research, and secure travel plans and coordinate with appropriate supporting elements (Medical, Cover/Backstopping, Travel, et al.), to ensure travel requirements are met. Assists the principal in managing internal affairs and operations and develops procedures to improve responsiveness to the needs and priorities of the office. Facilitate engagement sessions with mission, IC partners and/or other forums. Participate in meetings with organization directors to coordinate activities including meetings and travel; update calendars as needed. Creates, reviews, edits, prepares, and consolidates briefing materials for meetings. Correspondence and follow-up to appropriate internal, IC and external contacts. When needed, participates directly in external meetings and follows up with the relevant parties. Seek information from appropriate resources to provide background information to the principal, as required, adequately addressing and resolving issues and concern, not deferred to others. Provide senior leaders with relevant discussion topics for future meetings: Draft clear, concise, hard and soft copy, routine to moderately complex correspondence on behalf of the principal, emulating his or her style and voice. Format, proofread, and edit correspondence and review other documentation to ensure clarity, accuracy, grammar, and conformance with guidance and ensure response adequately addresses concerns/questions. Route/track through completion. Prioritizes and manages multiple projects simultaneously. Plan and coordinate program management process activities and leverage experience to recommend streamlined and efficient business processes. Manage internal business actions, identify internal and external dependencies, and apply decision analysis to ensure tasks and action progress at a rate commensurate with organizational operations tempo. Assists with information gathering, communicating with different parties, developing and monitoring plans, and keeps track of responsibilities. Follows through on issues to ensure completion and timely responses. Oversee day-to-day operations and seek to improve workflow; including, but not limited to welcoming visitors, answering main office phone line, and directing calls to the appropriate staff members, FO mail and package distribution, courier and other deliveries, and requisition of supplies. Qualifications Must possess and be able to maintain a TS/SCI clearance with Polygraph. BS 10-12, MS 8-10, PhD 5-7 Excellent leadership and customer service skills. Proactively takes initiative and strong work ethic. Strong oral and written communication and interpersonal skills. Critical thinking skills and effective decision making; strong attention to detail; excellent judgement and discretion; analytic skills to evaluate programmatic data/metrics; resolve inconsistencies; propose solutions to programs. Demonstrated experience with the MS office suite with the ability to prepare technical and non-technical briefings/presentations for use at the executive level. Proactive with a demonstrated experience multi-tasking in a fast paced and demanding technical environment. Demonstrated ability to work effectively in team environments.
