Systems Integrator - Front Office

Responsibilities The Systems Integrator will support the Sponsor's Intelligence Language Institute (ILi) in providing front office support, forging partnerships with senior leadership to drive and foster seamless communication, and implementation of the Sponsor's vision. Duties consistent with a Front Office Systems Integrator (FO/SI) include acting as the assistant to the ILi Director, and as such, must be a person whom the principal has complete trust and confidence. The FO/SI carries out a variety of complex assignments and special projects for the Director while working closely to provide direct support at the Directors level to support the Senior Advisor, Deputy Director, Technical Directors (3), and Chief of Staff. The FO/SI must work well in a team as a member of the Executive Staff, independently with general review and guidance in support of principal(s) from direction by the Chief of Support. Responsibilities include, but are not limited to the following: Create, manage, and assist with the Director's calendar/schedule and provide support to office directors and employees, assisting in daily office needs and general administrative activities. Manage FO and reoccurring (Weekly, Monthly, etc.) calendar meetings. Manage the principal's workflow and priorities by coordinating the schedule and anticipating steps ahead. Apply considerable knowledge for the Director, Senior Advisor, and Deputy Director's roles, responsibilities, and personal preferences in relation the supported mission, protocols, organizational hierarchies, and working knowledge of larger mission priorities. Act as the principal's personal representative and independently collaborate works with other elements to ensure coordinated and timely action on issues concerning ILi programs and activities; resolve conflicts and provide notification of calendar items. Focal point for all aspects of support to the principal(s) to provide embedded administrative support and enterprise services professionally, consistently, and reliably. Take on additional projects that will include meeting minutes (with increasing knowledge of substantive areas over time specifically technical meetings), slide decks (updates on correct templates for stakeholders), Excel/Office spreadsheets. Provide information or respond accurately to routine to moderately complex questions and/or language issues and requests in a clear, concise, credible, and courteous manner, and in an appropriate way. Prepare, research, and secure travel plans and coordinate with appropriate supporting elements (Medical, Cover/Backstopping, Travel, et al.), to ensure travel requirements are met. Assist the principal(s) in managing internal affairs and operations and develop procedures to improve the responsiveness to the needs and priorities of ILi. Facilitate engagement sessions with mission, IC partners and/or other forums. Participate in meetings with organization directors to coordinate activities including meetings and travel; update calendar, as needed. Create, review, edit, prepare, and consolidate briefing materials for meetings. Correspondence and follow-up to appropriate internal, IC and external contacts. When needed, participate directly in external meetings, and follow up with the relevant parties. Seek information from appropriate resources to provide background information to the principal, as required, adequately addressing, and resolving issues and concerns, not deferred to others. Provide Director(s) with relevant discussion topics for future meetings. Draft clear, concise, hard, and soft copy routine to moderately complex correspondence on behalf of the principal, emulating his or her style and voice. Format, proofread, and edit correspondence and review other documentation to ensure clarity, accuracy, grammar, and conformance with guidance and ensure response adequately addresses concern/question. Route/track through completion. Prioritize and manage multiple projects simultaneously. Plan and coordinate program management process activities and leverage experience to recommend streamline and efficient business processes. Manage internal business actions, identify internal and external dependencies, and apply decision analysis to ensure tasks and action progress at a rate commensurate with organizational operations tempo. Assist with information gathering, communicating with different parties, developing and monitoring plans, and keep track of responsibilities. Follow through on issues to ensure completion and respond in a timely manner. Oversee day-to-day operations and seek to improve office workflow; including, but not limited to welcoming visitors, answering main office phone line, and directing calls to the appropriate staff member, FO mail and package distribution, courier and other deliveries, and requisition of supplies. Assist and organize ILi activities. Respond directly to inquiries' when appropriate or take action to facilitate resolution of a range of inquiries and concerns related to the supported mission. Develop standard operating procedures and associated documentation. Qualifications Must possess and be able to maintain a TS/SCI clearance with Polygraph. Critical thinking skills and effective decision making; strong attention to detail; excellent judgement and discretion; analytic skills to evaluate programmatic data/metrics; resolve inconsistencies; propose solutions to programs. Demonstrated experience with the MS office suite with the ability to prepare technical and non-technical briefings/presentations for use at the executive level. Proactive with a demonstrated experience multi-tasking in a fast paced and demanding technical environment. Demonstrated experience and solid understanding of long-range strategic planning in a large organization, change/transition management, portfolio management and financial management. Demonstrate intellectual rigor and professional expertise to brainstorm new ideas and identify appropriate industry and sponsor best practices. Demonstrated ability to work effectively in team environments. Ability to coordinate information flow occurs between all programs and organizational managers.
