Systems & Project Manager

About Us

Your client is a fast-growing parenting coaching business that empowers parents of children aged 4-14. As a small but mighty team, we’re passionate about creating systems that help us make a bigger impact on families’ lives.

If you love the dynamic nature of a startup environment—where things move fast, you wear many hats, and there’s always a new challenge—this could be the perfect place for you.

Responsibilities:
As the Systems & Project Manager, you’ll apply your organizing talents in several ways. Whether it’s tech systems for marketing, project management, customer support, or other operations, you’ll work in your zone of genius: creating systems and keeping things running smoothly.

You’ll be responsible for:
Project & Systems Management:

Keep our Notion project management tool updated, adding new databases and troubleshooting as needed. Maintain and expand our Standard Operating Procedure (SOP) library. Organize weekly staff meetings, track action items, and ensure deadlines are met.

Tech Setup & Management:

Set up marketing tools: website checkout, email automation, payment gateways, and more. Build web pages and registration pages using the provided designs with the Elementor page builder. Manage ActiveCampaign lists, ensuring proper tagging, segmentation, and list hygiene. Troubleshoot technical issues for both the team and customers (billing, access issues, etc.).

Executive Assistance:

Organize the owner's business and personal emails, track deadlines, and maintain weekly workplans.

Customer & Content Support:

Manage our community on Facebook and Telegram. Handle LearnDash course management and minor Canva editing for templates. Organize digital assets (Google Drive, Canva, Vimeo, etc.).

Compensation and Benefits:

Hours: 20-30 hours per week, with occasional 40-45 hour weeks during high-demand periods. You’ll have 7-10 days' notice if extra hours are required. Compensation: $4-6/hour. On-Call: Be available to respond to urgent requests between 6:00 AM - 9:00 AM (PHL Time). You’ll only need to respond within 30 minutes. Meetings: Weekly all-staff meeting at 5 AM on Tuesdays (PHL Time), and additional meetings as needed. Remote Work: Work from anywhere with flexible hours. Independent Contractor: This is a contract position without benefits. Only direct workers should apply. No agencies, please. Growth Potential: This role has the potential to develop into a Business Manager position working 40 hours per week. This includes the opportunity to develop training programs, manage business operations, create complex systems, onboard new team members, confirm appointments, and follow up with leads.

Notes:

Occasionally, we’ll need all hands on deck to meet key deadlines. This might mean working up to 40-45 hours a week for about a week, usually once every 2-3 months (more often during marketing campaigns). You’ll get 7-10 days' notice for these times, and we’ll always aim to work together as a team to meet these goals. Additionally, you will be expected to work one weekend per month, either Saturday and Sunday or a single day. Weekend shifts will be announced at the beginning of each month, and to compensate for weekend work, you will receive a day off during the week (excluding Tuesdays and Wednesdays).
