About the role:

As an Administrative Assistant, you will play a critical role in supporting the GM and overall DNAB Leadership team. This role provides comprehensive administrative support to ensure the smooth and efficient operation of the office. This role involves handling a variety of tasks, including scheduling meetings, managing communications, organizing files, and assisting with special projects. The successful candidate will be an organized and proactive individual capable of multitasking and maintaining a high level of confidentiality.

Role Responsibilities:

· Efficiently handle administrative tasks on behalf of the DNAB General Manager and Leadership Team, enabling the team to focus on key business workstreams.

· Manage calendars and schedule appointments for GM and Leadership Team.

· Meeting planning and management in collaboration with the Leadership Team and other key members of the DNAB team, ensuring that key internal meetings are scheduled e.g. weekly All Hands, monthly LT meetings, quarterly Town Halls, etc.

· Coordinate meetings, conferences, events, and other professional engagements, including preparing agendas, taking minutes, and distributing relevant documentation.

· Provide logistic support for meetings, including liaising with vendors for catering and event set-up, etc.

· Follow up on any actions that came out of meetings and ensuring that they are completed within the requested timeline.

· Timely management of expenses via Concur, ensuring a thorough filing and reference system in place.

· Manage travel arrangements for GM.

· Proactively handle electronic and hard copy filing.

· Purchase Order Management in Coupa, ensuring all POs and invoices are completed in a timely, accurate and compliant manner.

· Maintain DNAB Outlook distribution lists, org charts, contact lists, etc.

· Handle sensitive information with discretion and maintain high level of confidentiality.

· Assist with onboarding new employees by preparing workstations and necessary documentation.

· Order office supplies and maintain inventory levels.

· Coordinate with Facilities Management for office maintenance issues.

· Coordinate with the D&T team for office IT related issues.

· Provide support on various projects as assigned by the GM and Leadership Team.

Experience / skills required:

· Has advanced knowledge of the most common software packages, including Outlook, PowerPoint, Word, Excel, Teams / SharePoint and Zoom. Has depth of understanding to resolve software problems. Can support DNAB Leadership Team in using digital and social media technology to enhance communication within and outside the team.

· Ability to set up and run virtual meetings – anticipating needs, applying standard process tools and technology to drive effectiveness.

· Experience of working across geographies and with a diverse set of people and businesses internally and externally.

· Strong organizational skills with attention to detail.

· Excellent verbal and written communication skills.

· Must be able to pass a full criminal background check
