SUMMARY
The Team Lead, Documentation (Export/Import) is responsible for leading a team that ensures the accuracy and timely preparation, processing, all export and import-related documentation. This role is critical to facilitating the smooth movement of goods across international borders, ensuring compliance with trade regulations, and maintaining the accuracy of invoices and shipping documents. The Senior Executive will play a key leadership role, mentoring staff, optimizing processes, and driving team performance.
DESCRIPTION
A. Key Responsibilities:
Documentation Management: Oversee the preparation, review, and processing of all necessary export/import documents, including bills of lading, commercial invoices, certificates of origin, packing lists, Bill of exchange, insurance certificate and letters of credit. Invoice Accuracy: Review and verify the accuracy of invoices, ensuring correct pricing, product details, and shipping terms. Address any discrepancies promptly to avoid delays. Stakeholder Coordination: Collaborate with internal departments (e.g., logistics, finance, and sales) and external partners (e.g., customs authorities and freight forwarders) to ensure all required documentation is in place and shipments proceed smoothly. Tracking and Reporting: Monitor shipment progress and track the status of documentation. Generate reports on team performance and compliance for management. Ensure proper record-keeping for audits and future reference. Risk Management: Identify and mitigate risks related to documentation processes that could lead to shipment delays, penalties, or compliance issues. Process for insurance claim when necessary
