Job Information

Job Summary:

The Temporary Event Coordinator provides administrative and programmatic support to the Project Manager for Strategic Initiatives and the Strategic Initiatives team. This position is expected to last six to nine months.

Responsibilities:

Assist with Strategic Initiatives’ short-term, ad hoc and longer-term projects.Assist in maintaining program databases, spreadsheets, files, and program materials. Assist with planning, coordinating, and supporting Family Office Initiative (FOI) events and meetings.Create and organize project-related materials and communications; ensure all necessary materials are current, accurate, and properly filed.Assist with scheduling meetings, taking meeting minutes, preparing reports, emails and correspondence.Work with the FOI faculty director and steering committee to support and organize initiative’s meetings and events.Respond to inbound inquiries and emails in a timely manner; track inquiries.Communicate and coordinate with internal and external partners.Assist with managing event attendance, RSVPs, schedules and plans, and event related materials.Assist with pre-event, onsite, and post-event logistics.Prepare reports and complete special projects as requested.Other duties as assigned.

Outstanding verbal, written, with an attention to grammar and spelling, and presentation skills.Excellent time management, organizational skills, attention to detail, basic math and finance skills.Work independently; possess personal accountability and a self-motivated disposition.Handle multiple detailed tasks/projects simultaneously and meet strict deadlines with frequent interruptions. Demonstrated ability to work effectively and diplomatically with colleagues, as well as with students, faculty, trustees/senior level alumni and business leaders and internal school leadership in a multitude of communication methods i.e., in person, email, phone.Professional demeanor, including tact, discretion, and a customer service-oriented approach.

Additional Responsibilities

Education, Experience, or Certifications:

Education:

Bachelor’s degree required.

Experience:

A minimum two years of event support and coordination experience required.Previous higher education experience preferred.

Technical Knowledge or Skills:

Demonstrated proficiency with internet applications, MS Office Word, Powerpoint, Excel, Outlook, Zoom, Box, and Google Suite (Drive, Sheets, Docs, and Forms) required. Qualtrics experience preferred. Proficient working with event registration platforms, Cvent preferred.

Working Conditions and Physical Requirements:

This position works a hybrid schedule. When needed, in-office schedule will be at 401 N. Michigan Ave or Harper Center with occasionally onsite at Rubenstein Forum.This is a part-time position of approximately 15-20 hours per week. It is possible that this role will expand to full-time after six to eight weeks.
